Office Manager Job Description
General Description:
Organize and coordinate administration duties and office procedures. Create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Serve as the point person for all office duties including: Maintenance, Supplies, Equipment, Invoices and Staff Scheduling.
Responsibilities:
- Manage and supervise staff employees; act as a liaison between staff and executive management team
- Enhances operational effectiveness, emphasizing cost containment and high-quality patient care
- Complete onboarding process for all new employees including proper training
- Oversee all HR functions, including but not limited to: recruiting, hiring, orientation, development, performance appraisals. All changes to payroll must be approved by Chief Operating Officer
- Maintain HR database; employee navigator
- Address patient and employee concerns and conflicts in a timely manner and to notify Chief Operating Officer of outcome
- Consistently monitor office flow to ensure the office runs smoothly and in a timely manner
- Responsible for all HEDIS measures and reports
- Ensures that the staff is updated on all announcements, policy and/or protocol changes, and follows through to see that they are implemented and followed
- Creates and oversees the staff schedule; ensures that all positions are covered and that all staff is at their assigned position
- Orders supplies in accordance with the guidelines of the practice while mindful of the financial impact to the practice
- Supports management team and providers with requests as needed
- Adheres to all confidentiality policies within the guidelines of IPC
- Responsible for IT support and coordinates issues with IT department until resolved
- Performs all revenue management functions according to the guidelines set by the practice including but not limited to submitting claims following all insurance guidelines and requirements adhering to timely filing requirements, claim follow-up, resolution of all denied/rejected claims and payment posting
- Generates and monitors billing reports to ensure all billing specialists are completing assignments in a timely and efficient manner
- Monitors A/R reports on a bi-weekly basis and provides a billing report including claim submission, payments, underpayments, and any billing trends along with solution to Practice Administrator and Physician Owner
Work Experience Requirements:
- Working experience as a Medical Office Manager for 5 Years
- In-depth knowledge of medical procedures, operations, and terminology
- Excellent organizational and time-management skills
- Outstanding communication, interpersonal and leadership skills
- Ability to read, write and speak English effectively
- Ability to speak Spanish effectively preferred
Job Type: Full-time
