Duties/Responsibilities
Scheduling
- Maintains President & CEO's calendar and fields requests for meetings and other engagements; provides logistical support as necessary.
- Keeps President & CEO apprised of upcoming engagements, sending reminders and preparing/providing advance materials as necessary.
- Greets meeting attendees when they arrive and escorts to appropriate meeting spaces; sets up spaces and anticipates logistical needs, ensuring they are addressed.
- Working with Operations team, coordinates use of IISTL building, including reserving rooms for external groups, when necessary.
- Assists President & CEO with written correspondence;
- Monitors agency's information and president email accounts.
- Sends calendar invites and email reminders to Boards in advance of meetings; gathers meeting materials and distributes in advance of meetings; assists with follow-up correspondence as needed.
- Assists in creating presentations and with meeting logistics, handling technical needs for remote participants, addressing questions and concerns.
- Takes, edits, and distributes meeting minutes.
- Maintains up-to-date Board rosters.
- Assists team members with special projects and initiatives.
- Assists with special events.
- Facilitates planning and delivery of monthly Community Update virtual meetings.
- Provides technical support to President & CEO at meetings when necessary.
- Assists with routine administrative and expense reports tasks.
- Attends agency meetings, helping facilitate remote access when needed.
- Other duties as assigned.
- Bachelor's degree required or equivalent experience in related discipline.
- Three to five years of experience in an administrative role.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Ability to maintain confidentiality.
- Ability to communicate and interact effectively with a diverse group of individuals at all organizational levels, both internal and external.
- Good judgment with the ability to make timely sound decisions.
- Ability to work occasional evenings and weekends.
- Ability to pass a standard background check.
