We are looking for a Customer Service
Job Description:
· Answer multi-line phone system, screen and direct calls
· Working closely with all Departments sales team, accounting, Purchasing and Warehouse.
· Process orders from beginning to final shipping of goods. Converting sales quote into sales order.
· Gathering all information need to process an order and ensure sale team provides all documents needed. (PO’s, sales quote, special cost information, special instruction, shipping instruction if provided by the customer, payment information if provided by the customer.
· Email customer the order confirmation with their PO’s and request shipping instruction if not provided. Include sales rep and accounting.
· Email Purchasing department the sales orders and add special instruction if given by the sales team (special price or purchasing requirements to vendor)
· Print approved orders processed in PDF to place it in warehouse bin daily
· Data entry of PO’s numbers in sales order to ensue purchasing of the items and as well needed for allocation report in the warehouse and status purpose on daily basis.
· Order status daily: follow up with purchasing on PO’s downloading & emailing excel sales order reports to maintain customer with updated status including the sales rep and accounting
· Interact with customers via telephone, email, and Skype daily
· Prepare documents for shipping SLI, Certificate of Origin, Hazmat ect.
· Once warehouse informs the order is ready via email, inform the customer and accounting and request warehouse to do delivery note (if no shipping instructions wait until the customer informs to request delivery note.
· Managing a large number of emails
· Resolve customer inquiries in timely manner to ensure customer satisfaction
· Maintain documentation to track customer requests and inquiries
· Highly organized and capable of dealing with several tasks at the same time.
· Create and sustain a positive team environment displaying high levels of motivation and excellent team spirit.
Skills:
· Word, PDF & Excel: Capturing and recording important data. Using shortcuts and formula functions.
· Fully bilingual (English & Spanish)
· Price list and entering part numbers
· Perform well under stress
Job Type: Full-time
Pay: Up to $20.00 per hour
