What are the responsibilities and job description for the Medical Front Office Receptionist position at Interventional Spine and Pain Institute?
Interventional Spine and Pain Institute is a well respected Interventional Pain Management practice seeking an experienced front office receptionist for a full-time role with our organization. We are looking for a team-player with exceptional customer service skills, capable of navigating a front office, executing responsibilities efficiently and effectively, all while providing an outstanding patient care experience.
GENERAL SUMMARY OF DUTIES:
- Greet patients in a polite and professional manner
- Initiate and obtain insurance plan referrals and authorizations when required by insurance plan
- Perform patient scheduling as well as all check-in and check-out procedures (heavy emphasis on out and appointment scheduling)
- Maintain current demographic and insurance information in patient chart
- Perform office opening procedures, petty cash balancing (open and closing of daily batches), co-pay/co-insurance collection, and assisting patients as needed
- Communicate effectively with patients on utilizing patient portal and KIOSK for New Patients
- Collect patients’ financial responsibility (co-pay or oustanding balance)
- Run eligibility and verification, with the ability to interpret results of the report as it pertains to insurance specifics (and needing authorization or not)
- Communicate with other office staff in a respectful manner (front office, Medical Assistants and Providers) regarding clinic flow and patient’s follow-up care
- Update appointment types as needed
- Process medical record requests as well as review and process incoming mail
- Schedule optimization (proactively looking forward to consolidate gaps and ensure required auth are obtained and filed on appointment) in order to run an efficient and productive clinic
- Communicate with authorizations representative regarding add-on office visits, procedures and any visit/appointment types that require referral/authorization based on insurance
- Contact NO SHOW patients and reschedule accordingly
- Scan and file documents daily
- Answer incoming calls and follow up on voicemail messages daily, providing great customer service to patients
- All other administrative responsibilities as applicable
REQUIREMENTS:
- At least 1 year of experience in front office responsibilities in a medical office
- Knowledge of EMR and/or Electronic Practice Management systems and technologies, preferably eCW (eClinical Works).
- Understanding of insurances, plan specifics, referrals, authorizations and eligibility checks
- Knowledge of clinic policies and procedures, computer systems and medical terminology
- Must be able to multi – task while expressing compassion and kindness to patients, maintaining a professional and upbeat attitude; respect for all office staff
- Skill in written and verbal communication and customer relations
- Ability to work with effectively with medical staff, management, authorizations, external agencies and patients
- Requires sitting and standing associated with a normal office environment
- Normal busy office environment with much patient contact
