The Sales/Service Administrator plays a crucial role in supporting the sales and customer service teams to ensure smooth operations and exceptional client experiences. Key responsibilities include managing sales orders, processing invoices, maintaining customer records, and coordinating communication between internal teams and clients. They oversee service requests, schedule appointments, and provide timely updates to customers. Additionally, they may analyze sales data, prepare reports, and assist in tracking performance metrics. Strong organizational, communication, and problem-solving skills are essential for success in this role. Proficiency in CRM software and administrative tools is often required.
Sales/Support Manager
The Sales/Support Manager will oversee the day-to-day internal operations of Sales and Service Administration, working closely with both teams to ensure efficient processes and outstanding customer support. Key responsibilities include:
- Generating and acknowledging sales orders.
- Managing purchase order administration.
- Ensuring visibility and tracking of quotes.
- Providing tracking information to customers.
- Delivering daily reports on order values for Sales and Service.
- Handling and responding to sales order calls and emails.
- Managing HubSpot leads effectively.
- Creating and monitoring Service RMAs in coordination with the Depot Engineer.
- Taking service order calls for parts in collaboration with the Technical Support Engineer.
Duties & Responsibilities:
- Exhibit a strong customer-oriented mindset with excellent problem-solving and troubleshooting abilities.
- Provide administrative support for orders via phone and email.
- Address and resolve InTEST administrative issues promptly, ensuring clear communication with customers and management.
- Accurately document and track issues and customer interactions within the InTEST Global Service CRM.
Required Education and Experience:
- Bachelor’s degree.
- Proven ability to manage multiple tasks and workloads simultaneously.
- Experience with customer support ticketing systems.
- Self-motivated with a strong sense of urgency and attention to detail.
- Commitment to delivering exceptional customer service.
- Familiarity with support tools and cloud-based applications (preferred).
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM tools, particularly HubSpot.
