Job Summary
We are seeking a dedicated and proactive Construction Assistant to support our construction team in various tasks. The ideal candidate will possess strong organizational skills and the ability to manage multiple responsibilities effectively. This role is essential for ensuring smooth operations and maintaining clear communication between estimating, pre-construction and construction teams.
Responsibilities
- Assist in the coordination of construction projects, ensuring timelines are met.
- Provide administrative support, including filing documents and maintaining project records.
- Proofread and prepare reports, correspondence, and other documents as needed.
- Manage office tasks such as scheduling meetings and preparing required documents.
- Filing documents, printing, and organizing project materials.
- Ordering and maintaining office supplies.
- Assist in updating and tracking project change orders and billing.
- Process project-related paperwork such as certificates of insurance, lien waivers, and miscellaneous supplier requirements.
- Participate in production meetings and prepare meeting minutes.
- Complete minor HR admin and Safety duties.
- Maintain an organized front desk area, welcoming visitors and directing them appropriately.
- Collaborate with team members to ensure efficient workflow and communication on-site.
Experience
- Previous experience in a personal assistant or office management role is preferred.
- Familiarity with construction terminology and processes is a plus but not required.
- Proficiency in computer skills, including typing and using software for documentation.
- Strong organizational skills with attention to detail to manage multiple tasks effectively.
- Excellent communication skills to interact with clients, contractors, and team members.
