Intrust Events - Lead Planner (Part-Time)

This role involves a diverse range of responsibilities but the primary expectation is the oversight and management of weddings and private parties for the company. There will also be research and planning, vendor management, timeline creation, and client engagement required. Hours will vary based on the event schedule, targeting 20-30 hours per week, with the heavier workload in wedding season. The role requires excellent leadership and organizational skills with the ability to serve as a primary POC for customers as the representative of Intrust Events. Some weekend work required.

Essential Job Functions

• Manage all aspects of event planning and event management for weddings and private parties.
• Manage booking and communication with any event subcontractors and vendors.
• Oversee client experiences and on-site preparation, execution, and breakdown of an event; and ensure high-level service throughout all phases.
• Work as the “day-of” point of contact for all vendors participating at events, as well as the clients and guests. Troubleshoot any issues that arise.
• Build positive relationships with vendors, customers, and venue owners, representing Intrust Events in a professional manner.
• Support the planning process by developing event themes and design ideas, create and execute the planning task list, and build detailed timelines to be shared externally.
• Identify and engage with third-party vendors to secure event requirements, along with facilitating contracts and payment.
• Assist with research and design for overall event vision where needed.
• Help stay on top of current wedding and party planning trends to assist with recommendations that will enhance the client’s experience.

Education and Experience

• Prior event planning experienced preferred, but not required. Will train the right candidate.
• Must demonstrate independent leadership and decision-making skill in prior work history.

• Excellent written and verbal communication skills
• Strong organizational and scheduling skills
• Willingness for travel across WI and IL
• Proficiency in Canva
