Job Description
Primary Function of Position
The Executive Talent Coordinator is a key, collaborative partner within Intuitive’ s Executive Recruiting function. This multifunctional role demands a highly motivated, proactive team player who is organized, client-driven, possesses excellent communication skills and the ability to manage highly confidential information with discretion. Additionally, this person will need to anticipate and adapt to shifting priorities, leveraging various tools to enhance the team’s effectiveness in process and experience. This is a global role supporting North America, APAC and EMEA regions.
Essential Job Duties
Oversee and manage search contracts , NDAs, and purchase order (PO) creation processes while ensuring compliance with global standards; create, route, and track job requisitions within the applicant tracking system (ATS).
Monitor and manage vendor payments , ensuring accurate and timely processing, and maintain organized records for future reference and auditing purposes.
Collaborate with recruitment marketing and enablement teams to optimize communication templates and develop support materials, enhancing recruitment tools and processes for global efficiency and consistency.
Serve as a candidate experience ambassador , by personally scheduling or working with the dedicated scheduler to schedule interviews, providing exceptional customer service and proactive communication to candidates throughout the interview process, both online and onsite, with a focus on delivering a positive, seamless experience.
Prepare and distribute interview materials to hiring teams, ensuring the efficient collection and organization of interviewer feedback to support decision-making.
Administer and track executive interview assessments , ensuring timely and accurate completion and maintaining organized records of feedback and evaluation results.
Generate and analyze detailed reports on global search activities and recruitment metrics using the ATS and reporting tools, providing actionable insights for continuous process improvement and strategic decision-making.
Qualifications
Required Skills and Experience
- Minimum of 4 years' experience in human resources or supporting executive leadership
- Desire to grow and learn about executive recruiting and gain new skills in the function.
- Work on site an average of 2-3 or as needed to meet and escort candidates.
- Ability to independently manage prioritize in a deadline driven environment
- Strong commitment to protect confidential / sensitive information
- Exceptional communication skills, written and verbal with a strong attention to detail.
- Computer proficiency : Microsoft office

It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications.
