POSITION SUMMARY
Our company is searching for an experienced, reliable, and results-oriented Executive Assistant. The EA will work directly with the CFO and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. ESSENTIAL JOB FUNCTIONS
- Prepares and composes correspondence, reports, presentations, and other complex documents on behalf of the CFO.
- Coordinates executive communications, including taking and screening calls, open and sorting mail, responding to emails, and interfacing with partners, employees and clients.
- Coordinates complex calendar management and works collaboratively with other executive assistants across the organization. Proactively looks for ways to improve the weekly and monthly calendars.
- Provides meeting support and coordination including agendas, materials, presentation prep, minutes (if needed) and follow up as necessary. Includes quarterly business meetings and other executive meetings and retreats.
- Arranges detailed travel plans and itineraries and compiles documents for travel-related meetings - both business and personal.
- Liaises between portfolio managers, development staff, corporate counsel and accounting regarding transactional documentation that requires CFO review / execution.
- Reviews & approves PTO requests on behalf of the CFO.
- Plans & schedules annual lender presentations. Assists and supports annual budget process.
- Prepares monthly corporate credit card reconciliations and expense reimbursements for CFO.
- Assists with and acts as the Arizona Office Coordinator to ensure office organization and productivity standards are met.
- Maintains an organized filing system of paper and electronic documents.
- Upholds a strict level of confidentiality and exercises discretion and independent judgement with respect to matters of significance for senior executives.
- Proactively takes on projects and other duties as assigned, to add value and create efficiencies in the day-to-day operations for the CFO
