We are working on an Executive Assistant opening with a prestigious firm in Boston, MA. This role will provide high-level support to an executive while working alongside another Executive Assistant. The position involves a mix of traditional executive support and some personal assistant responsibilities. The ideal candidate has 5 years of Executive Assistant experience, a strong track record of longevity in previous roles, and a background in professional services. Prior experience supporting C-suite executives is required.

Key Responsibilities :

  • Manage complex scheduling, calendar coordination, and meeting logistics
  • Organize travel arrangements, including flights, accommodations, and itineraries
  • Act as a liaison between the executive and internal / external stakeholders
  • Oversee board meeting coordination, including scheduling, travel arrangements, catering, and on-site support
  • Prepare and distribute internal and external communications on behalf of the executive
  • Maintain an organized digital filing system and ensure key documents are easily accessible
  • Track and manage business-related subscriptions and professional memberships
  • Assist with expense reporting and invoice processing as needed
  • Monitor and maintain office supplies, snacks, and daily lunch orders for the executive suite
  • Handle special projects, donation requests, and support the executive’s external board activities
  • Collaborate with marketing to ensure the executive’s bio and professional materials remain up to date
  • Work closely with other administrative professionals to support firm-wide initiatives
  • Maintain discretion and confidentiality while handling sensitive information

Qualifications :

  • Bachelor's degree required
  • Minimum of 5 years of Executive Assistant experience, preferably within professional services
  • Proven experience supporting C-suite executives in a fast-paced environment
  • Strong organizational and time management skills with the ability to prioritize tasks effectively
  • Exceptional attention to detail and a proactive approach to problem-solving
  • Ability to handle confidential and sensitive information with discretion
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other administrative tools
  • Ability to work collaboratively with other administrative professionals and cross-functional teams
  • Comfortable managing personal assistant duties as needed while maintaining professionalism
