Position Summary
We are seeking a highly organized and detail-oriented Grant Administrator who is responsible for overseeing all aspects of the IBMI’s grant management process, ensuring compliance with funding requirements, and maximizing grant opportunities to support the Tribe’s programs and initiatives. This role includes administering existing grants, identifying and applying for new funding, and ensuring timely and accurate reporting. The Grant Administrator must work effectively under pressure, maintain strong relationships with Tribal leadership, program staff, and funding agencies, and ensure that grant-funded programs align with the Tribe’s priorities and objectives.
Duties & Responsibilities
- Manage the full lifecycle of grants, including application, implementation, compliance, reporting, and closeout.
- Research and identify new funding opportunities that align with the Tribe’s needs and priorities.
- Write, edit, and submit grant proposals, ensuring all required documentation is accurate and complete.
- Monitor grant budgets, expenditures, and financial reporting to ensure compliance with funding requirements.
- Prepare and submit required reports to grant agencies in a timely manner, maintaining compliance with all deadlines.
- Work closely with program managers and department heads to ensure grant-funded activities meet objectives.
- Maintain organized and up-to-date grant files, including agreements, budgets, reports, and correspondence.
- Develop and implement policies and procedures for effective grant administration and compliance.
- Serve as the primary point of contact with grant agencies, auditors, and stakeholders.
- Provide training and technical assistance to Tribal staff on grant-related compliance and reporting requirements.
- Assist in developing and maintaining partnerships with other agencies, organizations, and funders to support grant initiatives.
- Track grant deliverables, and reporting deadlines.
- Ensure adherence to federal, state, and Tribal regulations regarding grants and funding requirements.
- Work collaboratively with finance staff to reconcile grant funding, expenditures, indirect costs, and reimbursements.
- Assist in strategic planning efforts by identifying funding sources to support long-term Tribal goals.
- Maintain awareness of changes in grant policies, funding trends, and best practices in grant administration.
- Maintain confidentiality in all aspects of the position.
- Responsible for additional duties as required or assigned.
Minimum Qualifications
- Bachelor’s degree in business administration, Public Administration, Finance, or a related field preferred.
- Minimum of three (3) years of experience in grant writing, administration, or compliance.
- Experience with federal, state, and private grant programs.
- Knowledge of financial management, budgeting, indirect costs, and reporting for grants.
- Experience working with Tribal governments or Native American communities preferred.
Knowledge and Abilities
- Strong knowledge of federal grant programs, including HUD (Housing and Urban Development), BIA (Bureau of Indian Affairs), DOT/TTP (Department of Transportation/Tribal Transportation Program), and culturally related grants.
- Understanding of indirect costs and cost allocation related to grant funding.
- Strong research, writing, and analytical skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Knowledge of grant compliance, reporting requirements, and funding regulations.
- Strong communication and interpersonal skills to work effectively with Tribal leadership, staff, and funding agencies.
- Proficiency in Microsoft Office, grant management software, and financial tracking systems.
- Ability to develop and maintain relationships with funding agencies and community partners.
- Detail-oriented with excellent organizational skills.
- Ability to work independently and as part of a team.
