Description
The position will provide administrative assistant functions and support for the Economic Development department. This position will be responsible for carrying out operational functions by accurately entering and retrieving appropriate information to/from institutional databases, prepare computer generated correspondence, complete program/course logistics, including but not limited to preparing and distributing contracts or agreements, complete invoices, evaluations, purchase orders, reimbursements, and other office duties. This person will be responsible to disseminate information, answer diverse and detailed questions from prospective clients/customer, greet current and prospective students and community members, manage, coordinate and communicate directly with business, and develop divisional efficient processes related to effectively meeting the departments functions.
Job Duties
- Maintain accurate and up-to-date records for all active 260E and 260F agreements.
- Track funds received, disbursed, and repaid through withholding tax collections.
- Ensure compliance with state and college policies regarding grant fund usage and reporting.
- Assist in preparing and submitting required reports to state agencies, businesses, and internal stakeholders.
- Work closely with finance and payroll departments to track company payments and tax withholding remittances.
- Prepare contracts, agreements, and amendments for participating businesses.
- Process invoices and financial reconciliations for 260F training reimbursements.
- Maintain databases or spreadsheets to track training completion, expenditures, and program milestones.
- Assist businesses in completing required forms and ensuring accuracy in submitted documentation.
- Communicate with businesses regarding reporting deadlines, program compliance, and training fund usage.
- Analyze training outcomes to support decision-making and program improvements.
- Serve as a liaison between businesses, Iowa Workforce Development (IWD), and other relevant agencies.
- Track various grant funds and prepare grant financial statements as needed.
- Provide support to Continuing Education by entering class information and verifying accuracy for the Economic Development Division
- Maintain a list of companies engaged in economic development initiatives and track their training activities.
Qualifications
- High school graduate or equivalent required. Administrative assistant or relevant work experience preferred
- Excellent verbal and written communication skills
- Strong organizational skills including the ability to multi-task, to meet deadlines, to maintain and access paper and electronic files, to produce error-free final products, and to manage time and output
- Excellent customer service skills required
- Proficient use of Microsoft Office products (Outlook, Word, Excel, PowerPoint)
- Ability to read, write and speak English fluently
- Enthusiastic and dedicated to the challenges of helping other people
- Ability to function collaboratively as part of a fast-paced, customer oriented team
- Professional in communications, appearance, relationships, and responsiveness
