Office of the CEO Administrator
We’re seeking a sharp, strategic, and modern professional to act as the backbone of the CEO’s office. This is a high-trust role designed for someone who can think independently, communicate with precision, and create leverage for the CEO in every direction. You’ll act as a true partner in managing the CEO’s time, communication, meetings, and internal priorities.
We're not looking for a traditional assistant—we're looking for someone with a business mindset, a passion for structure, and the ability to think like the CEO. Someone who can not only manage logistics but also bring strategic insight, coordination, and influence to the table. If you’re tech-savvy, professional, and growth-oriented, this role could be your launchpad.
Key Responsibilities
- Optimize CEO Time & Focus: Maintain a well-structured calendar and schedule that reflects strategic priorities. Own travel, logistics, and communication rhythms.
- Meeting Execution: Facilitate meetings by coordinating agendas, taking concise notes, tracking decisions, and drafting follow-up communications and presentations.
- Information Flow & Synthesis: Review and analyze incoming documents or messages before they hit the CEO’s desk. Ensure key insights are flagged and inconsistencies resolved.
- Project Management: Track executive team deliverables, enforce due dates, and monitor progress across strategic initiatives. Implement simple systems to keep the team on track.
- Internal & External Stakeholder Support: Represent the CEO and the Office of the CEO in key communications. Coordinate with Communications and RevOps to align on strategic narratives and board materials.
- Leadership Intelligence: Monitor news and industry trends relevant to our business and surface timely insights to the CEO.
- Office Management: Keep the office running smoothly—order supplies, coordinate with vendors, and ensure our small team onsite has what they need to thrive.
Who You Are
- A polished and articulate communicator who knows how to synthesize complex conversations into action plans.
- Experienced in managing up, working cross-functionally, and influencing without authority.
- Exceptionally organized, adaptable, and able to work independently in high-stakes environments.
- Business-educated or with equivalent operational exposure to high-growth environments.
- Discreet, trustworthy, and fully comfortable representing leadership in high-visibility settings.
