What are the responsibilities and job description for the Financial Project Controller position at IPEX Management Inc.?
The Project Controller will oversee day-to-day financial accounting and reporting activities of the assigned projects, ensuring compliance with accounting regulations and reporting requirements.
(S)he is responsible for the financial management of one or multiple years large investment projects (over 5M€) for the IPEX Group - North America.
This position monitors, coordinates, and controls financial activities – both Capex and Opex –maintaining accounting records and ensuring compliance as well as leading the monthly financial close/reporting process. This includes areas such as project accounting, audit, budgetary controls, procurement/purchasing approval, monitoring of project and financial performance/progress, project presentation and reporting.
Leveraging on continuous interactions with project team members and stakeholders, (s)he
ensures the project remains within budget (AFE Approved amount), identify deviation risks and define & execute mitigation plans with the project team.
In addition to his/her projects responsibilities that (s)he performs in full autonomy, the Controllers identify improvement opportunities in our Process, Governances and Tools. (S)he proactively defines and deploys solutions which strength compliances around Capex policies and governance.
The Project Controller supports efficient end-to-end process from start (ideation and project submission) to closure (Depreciation and post-investment return measurement) and streamlines when appropriated. Ultimately, (s)he acts as change agent to support the organization to gain in efficiency over our investments.
Ultimately, the controller takes active role in defining and deploying the Capex Management roadmap, taking responsibility of cross-functional projects. (s)he leverages on her/his leadership skills to influence, recommend and deploy preventive and corrective actions to support efficiently the execution of the Capex Management strategy.
The Project Controller is the financial representative at the project steering committee.
KEY RESPONSIBILITES:
- Collaboratively work with all internal and external stakeholders to ensure the project reporting expectations are clearly defined and understood.
- Organize and validate project information (financial, scope, risk, performance, quality) and compile regular reports including having regular meetings with internal and external stakeholders.
- Ensure financial information accuracy between program-level and subproject reporting in collaboration with the cost controller in charge of the work breakdown structure (WBS)
- Properly classify elements of the project that need to be classified as Capital Expense (CAPEX), or Operating Expense (OPEX) based on IFRS and the Aliaxis Manual or related documentation on capitalization. Ensure that any discrepancies are documented and explained.
- Work closely with Project Managers including but not limited to reviewing and approving or rejecting all purchase orders to be in line with the project budget, scope and goals, present revised budget and business case, if necessary.
- Producing weekly project financial reports, invoices reconciliation & accounting, as well as cash flows in comparison to the project budget and previous forecast.
- Drive the monthly, quarterly and year-end close, including compilation of internal financial statements for management and external reporting requirements to approved parties.
- Examine and prepare all journal entries, including all G/L & bank reconciliations.
- Cultivate a good internal control culture to safeguard company assets and ensure accurate financial reporting.
- Oversee, identify and resolve deviations.
- Recommend and execute corrective actions to handle project compliance.
- Support internal and external audits as conducted by Controller.
- Complete ad hoc assignments to support capital project completion.
- Handle special projects/tasks as requested by the department head.
- Recommend improvements to internal controls for better project management and ensure controls are implemented efficiently while cooperating with the administrative control department.
- Developpe and continuously update Capex Management Process, Governance and Tools training material. Provide regular training sessions with IPEX capex community.
- Streamline Processes and/or way of working to gain in efficiency and quality regarding Capex
- Introduce new best practices and/or guidelines when appropriated to strength our process and raise the quality of execution.
- Drive excellence in capex management usage and discipline, introducing new tools, guidelines or processes when required.
- Prepare reports and presentations for project financial management and divisional reporting.
JOB REQUIREMENTS:
Education & Certificates
- CPA Designation
- Minimum 5 years of related experience
- Experience working within a global setting
- A good understanding of project accounting and costing
Technical Skills & Experience
- Strong analytical and problem-solving skills
- Proficient in Microsoft Office, expertise in Microsoft Excel, PowerPoint
- Good Knowledge of Microsoft PowerBI preferred
- Excellent writing and presentation skills.
- Bilingual (English and French) a plus.
