Overview:
The Customer Service Representative supports the daily operations of the dental laboratory's customer service department. This role involves assisting with dental client inquiries, processing orders, and providing administrative support to ensure efficient and effective service delivery. The ideal candidate will have a background in dentistry and is organized, detail-oriented, and possess excellent communication skills.
Key Responsibilities:
- Respond to client inquiries via phone, email, and online chat, offering accurate information about products, services, and order status.
- Address and resolve client issues or complaints promptly and professionally, ensuring high levels of customer satisfaction.
- Provide exceptional service to maintain and enhance client relationships.
Order Processing:
- Process incoming client orders, ensuring that all necessary information is accurately captured and communicated to the production team.
- Monitor the status of orders, providing clients with timely updates and resolving any issues that arise.
- Ensure orders are processed efficiently and meet client expectations.
Coordination with Other Departments:
- Collaborate with production and billing departments to ensure seamless communication and service delivery.
- Coordinate with various teams to address client concerns, special requests, or changes in order requirements.
- Facilitate the flow of information between departments to enhance overall service efficiency.
Data Management:
- Maintain accurate and up-to-date client information in the company’s system.
- Assist in generating reports on customer service performance, order trends, and other relevant metrics.
- Ensure data integrity and confidentiality in compliance with company policies.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree in Dentistry field preferred.
- Previous experience as a Dental Assistant, Dental Hygienist, preferred.
- Proven experience in a customer service or administrative support role.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to handle multiple tasks and prioritize effectively.
- Proficiency in relevant software applications and customer management systems.
- Proficiency in dental management software systems is an asset.
- A positive attitude and commitment to providing exceptional customer service.
- Ability to build and maintain strong relationships with the clients is a must.
- Strong sense of ownership and ability to proactively identify opportunities for growth.
