Job Description:
At IPS, we are global leaders in developing innovative solutions for the consulting, architecture, engineering, project controls, procurement, construction management, and CQV of technically complex facilities, primarily in the life sciences industry. We are looking for a talented Document Control Specialist to join our talented team! You can be based out of any of our U.S. office locations (MA, NJ, PA, MD, NC, KS, CA).

In this role, you will assemble documentation from Subject Matter Experts (SMEs) to support corporate and project deliverables. You will also organize the information for review, evaluation, and correction before distribution and release.

Additional Responsibilities
  • Ensure compliance with project-specific document requirements specified in the Engineering Specifications for document turnover per standardized conventions.
  • Collaborate with the Marketing Team to ensure compliance with corporate branding, document conventions, and formatting, including color schemes, numbering, and approvals.
  • Work with Project Team Members to coordinate deliverables and training sessions.
  • Participate in the maintenance and updating of the Quality Management System (QMS) database registry.
  • Coordinate with Project Managers to establish document distribution plans for assigned projects.
  • Maintain document distribution systems and schedules for assigned projects based on client, project, and contractor requirements.
  • Expedite review, approval, and distribution of supplier and internally produced project documents.
  • Establish and maintain hard copies (paper) and soft (electronic files) for assigned project(s) per corporate requirements.
  • Provide paginated electronic files to incorporate the functionality to search and sort content within the electronic files.
  • Support the preparation of transmittals for engineering and procurement documents.
  • Arrange cataloging, packaging, long-term storage, archiving, and disposal of project documents at the time of project closeout.
  • Provide status of engineering documents, procurement documents, and submittals as requested by project and design managers.

Qualifications & Requirements:
  • Associates Degree.
  • 5 years of document control experience in the A/E/C industry.
  • Proficient in MS Suite.
  • Familiar with Web Page Administration and Bluebeam.
  • Knowledge of Procore and Prolog.
Context, Environment, & Safety
  • Several initiatives will require collaboration with other IPS Regional Offices and Project Teams.
  • Travel may be required based on the team or project location.
  • Attends activities at client sites where they work in construction, process, packaging, manufacturing, research, or other “non-administrative” areas.
