Position Summary

IRCO PIAFC's Receptionist welcomes everyone who contacts IRCO and PIAFC, assists people in determining the appropriate services they may qualify for, notifies staff of appointments with clients, and directs the flow of visitor traffic. Our Receptionist is often the first person to portray IRCO's image by phone, computer or in person with our diverse clients, visitors, funders and the general public. The Receptionist must have excellent verbal communication skills including phone etiquette, be punctual, be able to work with minimum supervision, and should be customer service driven. This position will work assisting many people who speak limited, to no English. This position will open PIAFC at 8 : 30 AM and close PIAFC's visitor area at 5 : 00 PM as directed. This position will work closely with other PIAFC Front Desk and Office Support Specialist as well as assist the operations of center with the Director. This position may support with other IRCO sites to fill in receptionist needs at other locations.

Essential Functions

  • Greet visitors and clients in a professionally friendly, courteous manner
  • Provide front-line reception for the agency, including, answering a multi-line voicemail telephone system, routing calls, answering emails, and taking accurate messages
  • Maintain and update staff and visitor sign in / out sheet
  • Type miscellaneous correspondence, documents, and labels as needed
  • Manage meeting rooms' calendar with the PIAFC staff
  • Maintain professional appearance and basic housekeeping within the receptionist area
  • Have detailed knowledge of IRCO policy, procedures manual, and webpage
  • Copying, filing, updating bulletin boards, and general monitoring of the reception appearance
  • Solid knowledge of computer keyboarding, Microsoft Office programs and filing is required, as well as strong interpersonal communication skills, and effective decision-making capability. Applicants must be professional, dependable, and personable with a strong desire to work in a service-oriented capacity
  • Maintain office safety and sanitation requirements for visitors and staff as coordinated by IRCO Administration

Secondary Functions

  • Provide clerical support for office management and community relations
  • Compose and type reports, forms, organizational charts, spreadsheets, databases, and related materials with PIAFC Director and PIAFC staff
  • Assist with event planning and support as related to PIAFC
  • Assist in gathering and compiling a variety of professional level correspondence, including intake, often of a confidential nature, photocopy materials, and perform other related office / administrative tasks with PIAFC staff and coordinators
  • Assist in maintaining administration supply inventory and stock all necessary administrative forms
  • Assist in tracking of order requests, and forwarding of invoices for office supply purchases for all departments received at the front desk as appropriate or requested
  • Monitor, track, and forward correspondence and requests for the agency to the Main Office administrative team
  • Assist in general maintenance and service calls when necessary for print needs
  • Assist in providing administrative / clerical support for meetings and other internal committees as needed
  • Perform research, analysis, and statistical support for special projects or as assigned
  • Requirements

    Education & Experience

    MINIMUM JOB SPECIFIC QUALIFICATIONS :

  • Education : High School or GED
  • Experience : 1-2 years of experience is required
  • Minimum two (2) years working with and relating to families including experience in community and / or parent organizing
  • Knowledge and understanding of immigrant and refugee cultures and local populations
  • Ability to communicate clearly about sensitive information and explain school systems in both English and a second language
  • Knowledge of emergency, social, and human services, as well as the information and referral system
  • Proficient in Microsoft Office including Word, Excel, Access, and Power Point
  • Experience and ability to work in a multi-cultural environment
  • Comfortable working remotely via online teleconferencing platforms like Zoom / Teams

  • Supervisory Responsibilities

    Positions at this level are not responsible for any supervisory functions, or responsibilities, but may occasionally be asked to orient new employees or volunteers as it relates to the Front Desk.
