Job Title: Construction Project Administrator
Reports To: Company Owner and Project Managers
FLSA Status: Salary Exempt
Summary: Primarily responsible for providing administrative support for construction project managers (and in support of design/build project managers). This position will also be responsible for processing Certificates of Insurance, preparing project paperwork for subcontracts and purchase orders and recording in BuilderTrend and on our internal drives in accordance with the workflows and standard operating procedures. The Project Administrator serves as a point of contact for vendors, customers, employees, and the public. Must present a friendly and professional image of the company, whether the interaction is over the telephone or in person. Accuracy, attention to detail, problem solving, and consistently following process and procedure are critical for success in this role.
Essential Duties & Responsibilities:
- Drives the execution and distribution of subcontracts, change orders, purchase orders.• Communicates in a timely and professional manner with Owners and Project Managers on discrepancies or when input is needed.• Responsible for administrative functions such as word processing for Project Managers on correspondence and project paperwork. Preparation and distribution of printed materials for meetings.• Coordinates and attends weekly production meetings and project kick off meetings. Takes minutes and distributes minutes and updates milestone reports. Reviews project requirements and prepares internal questions / other items for discussion / clarification in client kickoff.• Assists Project Managers with submittals and ensures secure mailing and distribution through BuilderTrend.• Maintains project files and performs project file archival.• Maintains detailed paper and electronic filing systems, including subcontracts, PO’s, contact lists, contract logs, drawing lists, etc. within BuilderTrend• Supports client/project security / background check process.• Supports project and corporate accounting effort through the processing of subcontractor/supplier invoices, compilation of pay applications and certified payrolls and submittal of same to proper agency authorities• Supports data entry and document management in BuilderTrend, various project management spreadsheets, etc.• Coordinates all internal and external calendar meetings and job specific appointments.• Supports set up of field offices providing proper compliance postings and safety / PPE.• Manages bond and insurance application and tracking processes.
Knowledge, Skills & Abilities:
- Knowledge of Architecture/Engineering/ConstructionIndustry and terms commonly utilized.• Proficiency in internet applications and MS Office Software, BuilderTrend and other applicable office software.• Proficiency with English language including effective oral and written communication skills is a must. Spanish speaking is a plus but not required.• Ability to manage multiple, simultaneous, competing priorities relative to overall corporate, client, and project needs and success with limited direction / oversight.• Ability to interact effectively with all levels of the organization in a fast paced environment.• Self-starter with ability to work in both team and individual environments.• Takes initiative in ensuring activities are complete and scheduled deadlines are met.• Excellent follow-up and organizational skills.• Effective analytical and problem-solving skills.• Effective communication skills and excellent attention to detail.• Typing/computer keyboard• Utilize computer software (some specified above)• Retrieve and compile information• Maintain records/logs• Verify data and information• Organize and prioritize information/tasks• Operate office equipment• Advanced mathematical concepts (fractions, decimals, ratios, percentages, graphs)

Education/Experience: High School Diploma. Degree preferred but not required. Minimum of five (5) or more years of knowledge and experience with construction and constructionaccounting practices.

Travel Requirements: Occasional attendance at meetings and other off-site events requires the ability to provide reliable transportation. Must maintain a current, valid driver’s license, and proof of insurance. Access to federal installations or facilities may require security badges and employee must be able to obtain basic security clearances.
