IronRoad is conducting a confidential search for a solid Administrative Assistant that's talent and experience match this direct hire position for our Solon, Ohio client. Summary / Objective :

The Administrative Assistant is the primary point of contact for customers, vendors, and other parties. This position facilitates the efficient operation of the Operations Team by performing a variety of clerical and administrative tasks.

Essential Functions :

1. Fields incoming phone calls to assure timely re-direction of calls where appropriate.

2. Welcomes and directs visitors and clients.

3. Coordinates and schedules travel, meetings, and appointments for Sales Team.

4. Assists in event planning and staging of open houses, demos, trade shows and other events as assigned.

5. Maintains filing systems as assigned.

6. Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

7. Responds to and resolves administrative inquiries and questions.

8. Monitors the company email account and responds appropriately, as well as forwards to the proper party.

9. Communicates with landlord on building maintenance and follow up on service requests when necessary.

10. Assists in processing and fulfilling customer parts and supplies orders.

11. Prepares documentation necessary for post-sale process including pre-install, installation, and warranty.

12. Assists in coordinating scheduling of company staff and third-party contractors, vendor staff, riggers, electricians, and others in preparation for installations.

13. Assists with dispatching appropriate service technician for incoming service calls and ensuring service tickets are created.

14. Assists with setting up new customers or existing customers in updating their account with relevant information.

15. Maintains customer confidence by keeping customer information confidential.

16. Back up other team members when unavailable due to schedule conflict.

17. Performs other related duties as assigned.

Work Environment :

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands :

While performing the duties of this job, the team member is required to walk; stand; sit; use hands to handle objects; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and / or move up to 15 pounds. Specific vision abilities required by the job include vision, near acuity, color determination, and ability to read documents.

Position Type / Expected Hours of Work :

This is a full-time position in the office daily, hours of work and days are Monday through Friday 8 : 00 am to 5 : 00 pm. Occasional evening and weekend work may be required as job duties demand.

Required Education and Experience :

1. Associate degree in business

2. 3-5 years of experience in an administrative role

3. Basic understanding of clerical procedures and systems such as recordkeeping and filing.

4. Ability to work independently.

5. Maintain a current and valid driver's license and state minimum insurance

6. 3- 5 years' experience with Microsoft Office Suite

Preferred Education and Experience :

1. Bachelor's degree in related field

2. Experience with Adobe software

3. Experience utilizing databases for transactional and record-keeping purposes, such as QuickBooks or similar

Work Authorization / Security Clearance (if applicable) :

Citizen of the United States of America

Full-Time Position :

51,000.00 annual compensation

Review of performance after 90 days with anticipated increase for wonderful work
