Position Description

The Assistant Director of Program Food provides direction and oversight for the Program Food kitchen and staff to ensure the Goodman Community Center offers nutritious, delicious, and accessible food resources to the daily programs and our community. This position also serves as a subject matter expert, providing comprehensive oversight of the Program Food staff to ensure full compliance with current meal and nutrition programs and contractual requirements. This includes staying current on all relevant policies and regulations, conducting regular training sessions, and implementing best practices to maintain high standards of food safety and program integrity. Additionally, you will monitor staff performance, promptly address compliance issues, and continuously improve processes to meet evolving standards and requirements.


Duties & Responsibilities

  •  Provides direction and oversight for the Program Food team and is on-site daily to help problem-solve and support as challenges arise.
  •  Be a subject matter expert in and provide oversight of the Program Food staff to meet compliance requirements for WI Department of Public Instruction Community Nutrition Programs, WI DHS Older Adult Nutrition Services, Dane County Congregate Meal Sites, Meals on Wheels Home Delivered Meals, Harvest Snack, and other applicable contracts.
  •  Remain current on all policy and programmatic changes relevant to contracts. Review contracts, manuals, and training materials annually. Attend mandatory certification training.
  •  Ensure customer needs and contractual obligations are met for our food contracts.
  •  Implementing a detailed cost allocation system and ensuring accurate charge allocation for proper reimbursement.
  •  Using specific funding streams appropriately and strategically (to maximize resources). 
  •  Making informed procurement decisions based on contractual, programmatic, and budgetary restrictions. 
  •  Create procedures and standards and conduct regular observations for the Program Food kitchen to monitor the quality of food preparation and service, food appearance, and cleanliness and sanitation of kitchens, service areas, and equipment. Implement corrective measures immediately.
  •  Ensure that Program Food staff meet the required monthly reporting on time.
  •  Establish and enforce protocols for accurate inventory tracking and regular audits.
  •  Develop strategies to minimize food waste.
  •  Continuously review and improve inventory processes to align with best practices.
  •  Fill in and support the cooks, Meals on Wheels Team, and Managers as needed.
  •  Adhere to and ensure the Program Food team complies with safety, nutrition, food handling, personal hygiene, attire/appearance, and sanitation requirements of the Center’s policies, licensing, Wisconsin Department of Public Instruction Community Nutrition Programs guidelines, and appropriate requirements.
  •  Attend required staff meetings.
  •  Maintain open relationships with programs and catering kitchens.
  •  Maintain and foster strong relationships with external partners, contractors, and vendors.
  •  Work with the Volunteer Manager and support the integration and support of volunteers within the kitchen.
  •  Perform other duties as assigned.

Supervisory

  •  Supervise Program Kitchen Manager and Nutrition Administration Manager.
  •  In consultation with supervisor, Human Resources and the Executive Team, make hiring decisions, complete staff disciplinary documentation, and participate in termination decisions.
  •  Mediate and resolve conflicts among staff effectively by fostering open communication, understanding different perspectives, and implementing fair solutions. Address issues promptly and professionally to ensure a positive and collaborative work environment.
  •  Set performance goals, coach, and mentor direct reports with support from your supervisor.
  •  Evaluate the performance of direct reports through GCC’s performance evaluation system.
  •  Encourage direct reports’ professional development.
  •  Review and approve payroll-related transactions for direct reports, including timecard review and approval, time-off request review and approval, etc.
  •  Perform to the standards of GCC’s leadership values and competencies.

Requirements

Qualifications

  •  Experience in food service management.
  •  Proficiency and experience in cooking a variety of foods for 1-300.
  •  Demonstrates a strong willingness to learn and adapt to new programs and policies.
  •  Experience with menu development and execution.
  •  Effective self-motivation and desire to train and lead both staff and volunteers.
  •  Flexibility in adapting to evolving management needs
  •  Understanding of budget adherence and food production costs.
  •  Experience with inventory systems and ordering.
  •  Strong organizational and problem-solving skills.
  •  Proficient Microsoft Office skills: Outlook, Word, Excel & SharePoint.

Special position requirements

  •  Serve Safe Manager Certified within 60 days of employment.
  •  A valid driver’s license and an insurable driving record.

Physical Requirements

  •  Ability to move up to 50 pounds with or without accommodations.
  •  Ability to stand, reach, and bend for the entire work schedule.
  •  Ability to operate a computer and perform sedentary work as necessary
