Position Overview: We are seeking a Retail & Wholesale Operations Coordinator to join our corporate team. This role is pivotal in managing logistics, credit management, and operational processes across our retail and wholesale channels. Reporting directly to the Director of Retail and the Director of Wholesale, the coordinator will ensure the seamless execution of operational strategies, enhancing the efficiency of our supply chain and financial operations.
While this position offers remote flexibility, candidates must be based in NY or surrounding areas. Occasional travel to the office for training, store visits, or key meetings will be required based on business needs.
Key Responsibilities:
Logistics & Inventory Management:
- Shipment Coordination: Oversee and track shipments in collaboration with central and regional warehouses, addressing any logistical delays or discrepancies promptly.
- Stock Transfers: Manage and document stock movements between retail and wholesale channels to ensure accurate inventory records.
- Inventory Monitoring: Regularly assess inventory levels, identify variances, and implement corrective actions to maintain optimal stock levels.
- Seasonal Support: Collaborate with cross-functional teams during peak seasons to facilitate product launches, replenishments, and returns.
- Logistics Scheduling: Develop and manage logistics timelines during high-demand periods to ensure consistent product availability.
Wholesale Operations Support:
- Partner Liaison: Act as the primary contact for wholesale partners, addressing inquiries related to order tracking, deliveries, and returns.
- Transaction Reporting: Maintain comprehensive reports on wholesale activities, analyzing product performance and order statuses.
- Issue Resolution: Work closely with logistics providers to troubleshoot and resolve any delivery challenges.
- Order Management: Coordinate with internal teams to monitor pending orders, ensuring timely fulfillment and addressing any discrepancies.
Finance & Credit Management Support (Wholesale Focus):
- Deduction Analysis: Review payment deductions from wholesale customers by accessing their portals to determine the reasons for deductions.
- Collaboration: Work with the U.S. Commercial Team to evaluate and decide on the acceptance or dispute of deductions.
- Record Maintenance: Update and manage the deductions file, ensuring all entries are accurate and reflect current statuses.
- Communication: Regularly liaise with the Credit Management Team in France to confirm deduction approvals, ensuring precise accounting records.
- Issue Escalation: Provide updates on deduction statuses and escalate unresolved matters to relevant internal stakeholders.
Operational Support During Seasonal Peaks:
- Logistical Assistance: Offer support during high-volume periods by generating reports, overseeing stock movements, and handling administrative tasks.
- Product Launch Coordination: Ensure timely tracking of shipments and availability of inventory for new product introductions.
- Workflow Optimization: Streamline warehouse operations to maintain efficiency during peak retail events and seasons.
Desired Skills & Experience
- Experience in a corporate logistics, supply chain, retail operations, or wholesale support, ideally within the fashion or luxury industry.
- Strong organizational and time management skills, with the ability to work independently and handle multiple tasks.
- Excellent communication and problem-solving skills to collaborate effectively with internal teams and partners.
- Proficiency in Microsoft Office (Excel, Word); experience with ERP or inventory management systems is a plus.
- Experience in customer service or wholesale operations is preferred.
- Ability to work remotely with flexibility to meet changing business needs.
