Island Institute is hiring a Product Coordinator/Customer Service Associate to join our Archipelago team. Archipelago is Island Institute's retail store and fine arts gallery, located in Rockland, Maine. This full-time benefit-eligible temporary position (through December 31, 2025) offers a dynamic blend of behind-the-scenes inventory management and front-line customer service. This position is responsible for overseeing the store's inventory while also serving as a Customer Service Associate to shoppers in a unique made-in-Maine shop and gallery setting. Over 250 artists, crafters, and authors from 15 different islands and the coast of Maine are represented in the store.

Qualifications:
- High School diploma or equivalent required; undergraduate degree or relatable experience preferred.
- A high level of proficiency with computer-based systems; familiarity with inventory management and Excel a plus.
- Excellent communication skills and a high level of customer service orientation.
- Enthusiastic energy level, patience, initiative, honesty and the ability to multi-task when tasks are demanding.
- Must work well in team environment and with other departments.
- Must have keen attention to detail, accuracy in tasks, and ability to complete repetitive tasks thoroughly and accurately.
- Must be available to work on some weekends, evenings and holidays, especially during busy periods including summer months and the holiday season.
- Photography experience is a plus but not required.
Essential Functions:
Inventory & Product Management:
- Receive inventory: enter data into POS, price and grid items, print tags, and prepare items for the sales floor.
- Write product descriptions, prepare items for the website, and create gallery wall labels for new fine art pieces.
- Perform inventory adjustments including vendor checkouts, returns, and other updates.
- Manage vendor check requests and coordinate with the Finance team.
- Prepare for and participate in the annual inventory count, including reconciliation and reporting.
Sales Floor & Customer Support:
- Provide outstanding customer service on the sales floor.
- Cover during high-traffic periods, including weekends, lunch hours, and events.
Online Store & Wholesale Fulfillment:
- Photograph products and develop collateral for the website.
- Process and ship web orders (at least twice weekly).
- Close the POS web register and report sales to the Finance team.
- Fulfill wholesale orders for Island Institute publications.
Ordering & Reporting:
- Monitor and reorder inventory as needed; manage the store’s book section and displays.
- Generate monthly consignment and sales reports.
- Support events such as Art Walks/First Fridays during the season.
