The Operations Coordinator plays a pivotal role in the success of our workshop operations, responsible for coordinating service delivery, administrative functions, and ensuring compliance with contractual obligations. This dynamic individual will oversee the effective management of service work orders, communicate with internal customers, and facilitate team collaboration to achieve timely delivery of orders.

To be successful in this role, you must have excellent customer service orientation, technical knowledge/experience in maritime and energy industry preferred, solid negotiation skills, ability to perform multiple tasks and prioritize based on business need, demonstrate flexible and efficient time management, and be proficient with Excel, Word, PowerPoint, and experience in an ERP system.

Job Description
The Operations Coordinator plays a pivotal role in the success of our workshop operations, responsible for coordinating service delivery, administrative functions, and ensuring compliance with contractual obligations. This dynamic individual will oversee the effective management of service work orders, communicate with internal customers, and facilitate team collaboration to achieve timely delivery of orders.
Key Responsibilities:
- Coordinate service work orders and maintain communication with service managers and internal customers.
- Review and analyze each request for quote to ensure accurate creation of quotes and orders.
- Record and track time and travel expenses related to service personnel working on jobs.
- Invoice service work orders and ensure bookings are correct, totals match the customer PO.
- Resolve any discrepancies on the service work order.
- Support AR aging inquiries; follow to resolution.
- Manage and maintain optimum communications and relationships with all internal customers, followed up on open quotes and orders to identify opportunities and maximize revenue.
- Coordinate with various departments involved in the service delivery process to facilitate team collaboration and timely delivery of orders.
