Overview

IST Management is seeking a Law Firm- Office Services Manager to join the Florida team! The Law Firm-Office Services Manager is responsible for overseeing and providing Corporate Mail, Copy/Print, Hospitality, and other administrative support services on-site in a legal environment. Ideal candidates have great customer relationship management skills, are detail oriented, have the ability to work well in a fast-paced environment, possess prior supervisor/management experience, and are ready to grow in their professional office services and facilities management career! Prior experience in a legal environment is required.

Hourly Compensation: $20.00-20.00

 

Schedule: Monday-Friday, Regular Business hours

 

Responsibilities

 

  • Supervision of on-site office services team and services provided
  • Mailroom services- process, scan, sort, and delivery of parcels and packages throughout firm to appropriate client personnel; shipping and receiving, vendor relations
  • Copy/print services- duplication and print projects upon client request, utilization of various copiers and printers, modification of files, filing away documents with sensitivity to confidentiality; maintain equipment, replenish supplies as needed
  • Hospitality services- conference room management, reception, maintaining common areas and kitchen, clean and replenish supplies
  • Ordering supplies
  • Updating employee lists
  • Demonstrate flexibility in satisfying customer demands in a high volume, production environment
  • Maintain all logs and reporting documentation; attention to detail
  • Adhere to all safety procedures Perform other tasks as assigned

 

Qualifications

 

  • High school diploma or equivalent (GED); Pre-employment drug screening required
  • Prior experience supervising or managing similar operations; Litigation Copying/scanning/mailing, copier equipment experience 
  • Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred.
  • Ability to communicate both verbally and written with customers and other employees; both one-on-one and during meetings
  • Knowledge of supervisory techniques to manage, motivate and train employees; ability to prepare reports and present information to customers
  • Must have attention to detail and critically think through and resolve problems; Must have customer service skills and be able to maintain a consistent, high level of service
  • A valid driver’s license and/or reliable transportation to and from work
  • Lifting up to 55 pounds, standing for long periods of time, significant walking; Willingness to cross-train for other job functions
