Department: Purchasing & Inventory Management
Reporting to: Merchandise & Planning Manager
We are looking for an autonomous and motivated operations professional with exceptional organization skills to help us efficiently manage purchasing processes and forecast inventory needs. This role will primarily focus on managing POs from start to finish and handling 3rd party vendor outreach and information organization. The ideal candidate will be highly organized, proactive, and possess strong communication skills to effectively work with internal and external partners.
Key Responsibilities:
- Assist in the preparation and maintenance of orders, managing POs from creation to completion, ensuring timely and accurate processing.
- Gather and organize product information, ensuring accurate and up-to-date product listings in the system.
- Assist in inventory replenishment by generating purchase order proposals based on sales forecasts, inventory levels, and vendor lead times.
- Communicate with vendors to confirm product availability, shipping schedules, and delivery timelines.
- Monitor purchase order status, update system with delivery timelines, and ensure vendor compliance with agreed-upon terms. Maintain accurate records of POs, vendor communications, and product information in internal systems.
- Regularly generate reports as-needed related to inventory levels, order statuses, and vendor/product performance.
- Work closely with the inventory management and sales teams to ensure timely and accurate inventory replenishment.
- Provide analytical support on purchasing trends, pricing, and market demand.
- Communicate internally to ensure team visibility on incoming inventory status.
Qualifications:
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Excel and experience with purchasing or inventory management software (Oracle Netsuite experience a plus).
- Excellent communication skills and the ability to build relationships with vendors and internal teams.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Problem-solving skills and a proactive, solution-oriented approach to work.
- Previous experience in purchasing, retail operations, or supply chain management is a plus.
