About The Role

We are seeking a dedicated and organized Admin. Assistant / HR Assistant. The ideal candidate will assist in various functions, including managing the front desk, recruitment and employee relations. This role requires excellent communication skills, attention to detail, and a passion for fostering a positive workplace culture.

Roles And Responsibilities

  • Manage and maintain front desk area, answer phones and greet customers.
  • Oversee employee birthday celebrations and company events including setup, cleanup, and catering arrangements.
  • Responsible for ensuring the kitchen is clean and organized, restocking bathroom supplies, and ordering general office supplies.
  • Create and manage job postings across various platforms, ensuring they are attractive and accurately reflect the role's requirements. Utilize social media, job boards, and industry-specific sites to reach a wider audience.
  • Develop criteria for evaluating resumes and applications. Conduct preliminary screenings to shortlist candidates based on qualifications and experience.
  • Coordinate with hiring managers and candidates to schedule interviews, ensuring timely communication and a smooth process. Prepare interview guides and provide candidates with necessary information.
  • Support new employee onboarding, including preparing orientation materials and conducting initial training sessions.
  • Plan and execute various employee engagement initiatives, such as team-building events, recognition programs, and wellness activities. Gather feedback to assess the effectiveness of these programs.
  • Miscellaneous support with special projects and initiatives as needed.

Qualifications

Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).

Must be bilingual (English and Spanish) to effectively communicate with a diverse workforce.

Previous experience in an HR role or administrative capacity is a plus.

Strong organizational skills and attention to detail.

Excellent verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc); other online programs e.g. BusyBusy, Canva, etc.

Ability to handle sensitive information with confidentiality and professionalism.

Strong interpersonal skills and a team-oriented mindset.
