Job Summary
- The Director of Clinic Operations role is part of the Clinic Services Administration team that supports ETS’ mission through effective operational management and administrative leadership across all clinic sites and programs.
- This role makes a critical difference at ETS by ensuring that clinics run efficiently, fostering interdepartmental collaboration, managing fleet operations, and supporting program development and expansion to meet operational and participant needs.
- The position is full-time onsite, and the days and hours are primarily Monday through Friday, 5:30 AM to 2:30 PM, with flexibility as required to meet operational demands.
- Help ETS succeed in carrying out our mission through working together with other staff to transform systems of harm and inequity to create different approaches to improving community health and safety through addressing substance use and homelessness.
- Assist with the organization-wide initiative to reimagine our interconnectedness within our community to overcome the aspects of our society and organizational culture shaped by white supremacy and settler colonialism.
- o Provide administrative leadership to Clinic and Program Managers, ensuring all clinics/programs operate smoothly and effectively.
- Oversee non-clinical aspects of service delivery, ensuring that facilities, staffing, and resources meet operational needs.
- Develop and implement operational processes that support efficient service delivery, while ensuring compliance with organizational policies and external regulations.
- Ensure clinics have the resources and infrastructure required to meet the needs of participants and staff, while maintaining a person-centered approach.
- Supervise and support Clinic/Program Managers, ensuring they have the tools and guidance necessary to manage the day-to-day administrative operations of Clinic/Program sites.
- Foster collaboration between clinics, programs, domains and departments, such as Behavioral Health, Facilities, and Administration, to streamline operations and support the delivery of participant services.
- Promote a culture of teamwork and communication to resolve operational issues efficiently.
- Oversee the management of the clinic fleet, including vehicles used for transportation and mobile services (e.g., Treatment in Motion), ensuring vehicles are properly maintained, utilized efficiently, and available to support operational needs.
- Continuously assess and improve administrative processes to ensure that clinic operations are efficient, responsive, and supportive of participant services.
- Lead the development and expansion of administrative programs, identifying opportunities for operational improvements and service enhancements. Ensure new programs are integrated into existing systems and aligned with ETS’ strategic goals.
- Ensure the operational infrastructure supports future expansion and the introduction of new services, focusing on the administrative and logistical aspects of growth.
- Oversee compliance with administrative policies and ensure clinic operations adhere to safety standards and regulations.
- Collaborate with quality assurance teams to monitor and improve administrative practices, ensuring clinic sites are compliant with all applicable state and federal regulations and organizational policies.
- Ensure that safety protocols are followed in all Clinic/Program operations, maintaining a secure environment for both staff and participants.
- Oversee the budgeting process for Clinic/Program operations in conjunction with Clinic/Program leadership, as well as finance and executive leadership, to ensure that resources are allocated efficiently to meet the operational requirements for Clinic/Program locations.
- Work with Clinic/Program Managers to optimize staffing and resources to meet operational demands, balancing cost efficiency with service quality.
- Data-Driven Decision Making & Performance Metrics o Establish key performance indicators (KPIs) for Clinic/Program operations to assess and improve administrative efficiency.
- Use data to drive operational decisions, ensuring that clinics/programs are operating effectively, and resources are used optimally. o Provide regular reports to leadership, outlining operational performance and recommending strategies for improvement.
Requirements
What you bring to this role – Qualifications:
Experience In Healthcare Administration Or Related Fields Is Preferred.
Education and/or Relevant and Lived Experience (if applicable):
- Bachelor’s degree in Healthcare Administration, Business, or a related field.
- 7 years of experience in administrative operations or healthcare management, with at least 3 years in a leadership role overseeing operations or other admin functions.
- Lived experience or familiarity with the challenges faced by underserved communities is valued.
- Have an understanding of racial justice and social equity and a commitment to helping create an equitable environment for all ETS clients, patients, and fellow staff.
- Ability to establish and maintain effective working relationships with clients, patients, and staff from a wide variety of ethnic, socioeconomic, and cultural backgrounds.
- Experience managing multi-site operations, with a focus on optimizing efficiency and resource allocation.
- Knowledge of fleet management and logistical coordination to support clinic operations.
- Ability to use data to drive operational decisions and assess performance metrics. o Strong interpersonal skills and verbal/written communication skills.
- Excellent organizational skills and ability to prioritize workload, work independently, and complete tasks timely and efficiently.
- Dependable, able to work under pressure, receptive to change, with a willingness to learn and a cooperative approach to problem-solving.

- Computer literate, with basic knowledge of Microsoft Office Suite (or equivalent suites such as Google Workspace), as well as a high level of initiative in keeping current with technological changes. Skills needed include basic functions such as utilizing MS Outlook email and calendaring programs (or equivalent) and sending attachments, using MS Teams or equivalent chat, call, and videoconference features, and navigating search engines such as Edge or Google and carrying out browser searches and website benchmarking steps.
Physical Conditions and Requirements:
- The employee may be exposed to illicit drug residues and fumes or other bio-hazardous materials when carrying out job functions. There is also potential for exposure to bloodborne pathogens. ETS will provide employees with appropriate training to limit the risk of exposure to bloodborne pathogens. Policies and procedures are in place addressing each item specifically.
- The employee is regularly required to sit; use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms and talk or hear; frequently required to stand, walk, and kneel; occasionally to climb balance, or stoop; rarely to crouch or crawl.
- The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close, color, and peripheral vision and the ability to adjust focus. The noise level in the work environment is moderate.
