Job Description
The Assistant Office Manager will perform a variety of executive administrative and office manager tasks. The duties of the Assistant Office Manager include providing support to our senior leaders and teammates, as well as assisting in daily office needs and managing Ivy’s general administrative activities. Our corporate office is located in White Plains, NY and the expectation is that the Assistant Office Manager will be in the office every day.

Job Description
The Assistant Office Manager will perform a variety of executive administrative and office manager tasks. The duties of the Assistant Office Manager include providing support to our senior leaders and teammates, as well as assisting in daily office needs and managing Ivy’s general administrative activities. Our corporate office is located in White Plains, NY and the expectation is that the Assistant Office Manager will be in the office every day.
The Assistant Office Manager Will
- Support 1-2 members of the Executive Leadership Team (ELT) including extensive calendaring and other requests from the ELT and Senior Leadership Team (SLT).
- Assist with offsite meeting planning, including the preparation of hotel contracts, rooming lists, food & beverage service, etc.
- Proactively review conference room calendars for upcoming meetings and prepare for them.
- Set up / breakdown conference rooms for meetings, including catering.
- Maintain an inventory of promotional items, IT equipment and office supplies.
- Work with building management regarding maintenance service calls and booking external conference room.
- Set up/disable employee security badges for office access.
- Responsible for preparing and receiving UPS shipments and deliveries.
- Assist with implementation of our new electronic mail solution and oversee corporate office mail.
- Handle Office Depot (ODP) new account set ups for clinics and address any ODP issues with our ODP rep.
- Maintain office and kitchen supplies.
- Redirect incoming voicemail messages and faxes to the appropriate teammate.
- Greet visitors at our Corporate Office.
- Ability to collaborate effectively within a team environment and contribute flexibly to support team objectives as needed.
- Minimum of 3 years' experience supporting senior executives.
- Expectation to be located on-site at the corporate office.
- Proficiency in MS Office (Word, Excel, Outlook and Teams in particular).
- Knowledge of office management procedures.
- Working knowledge of office equipment, like printers, scanners and postage machine.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
