Ivybrook Academy, a progressive Montessori and Reggio Emilia inspired preschool, seeks a highly qualified, dedicated and passionate Administrative Assistant. In this extremely rewarding position, you will assume ultimate responsibility for assisting the Director and Director of Curriculum with daily operations, while also assisting families and teachers in the classroom.
The ideal candidate for this position will possess a strong understanding of customer service and a clear commitment to the highest of standards in early childhood education. He or she must have a sense of humor, be committed to enrollment, and understand the flexibility needed in a school setting! We are seeking an Administrative Assistant who has demonstrated the essential skills required in establishing effective relationships with our parents and their needs, while being an asset to our administrative team.

Some Key Areas of Responsibility
- Handle incoming calls, emails, and messages, directing them to the appropriate staff members.
- Assist with the organization and maintenance of files, records, and databases for student information, staff records, and school policies.
- Ensure that office supplies are stocked and maintain inventory.
- Schedule and manage appointments for the administrative staff.
- Help organize and coordinate school events and activities.
- Assist in coordinating and communicating school schedules, holidays, and events to parents and staff.
- Create and file the necessary folders for student enrollment forms.
- Handle parent inquiries in a friendly, professional, and timely manner.
- Assist teachers and administrators with daily administrative tasks.
- Help with organizing classroom materials or setting up supplies for school activities.
- Provide support during staff meetings, including preparing agendas, taking notes, and distributing meeting minutes.
- Greet parents, visitors, and children warmly and professionally.
- Help manage the arrival and departure of children, ensuring safety protocols are followed.
- Assist in resolving any issues or concerns from parents or staff in a timely manner.
- Order necessary supplies for classrooms and teachers.
Requirements:
Working towards a degree in business or a childcare related major (Preferred)
Experience in taking inquiry phone calls (Preferred)
A love for children and serving others
Proficiency in Microsoft word, excel, publisher, outlook, and power point
