Assistant Event Coordinator: Sponsorship and Speaker Coordinator for Small and Growing Conference Management Company
EVENT PLANNING ASSOCIATE / EXECUTIVE ASSISTANT – Part Time
The Executive Assistant/ Meeting Planner Associate position is located in Atlanta and is a hybrid position. This is a part time for up to 20 hours per week with 30 hours needed leading up the weeks before a conference or event.
Position Summary:
As the Conference and Event Associate / EA, your primary role is to support sales and management. You'll ensure events are detailed and executed seamlessly by working with clients to ensure a positive event.
Must be a self-started, have a positive personality, and have a passion for event planning.
Essential Job Functions
- Meet high hospitality expectations and standards when interacting with clients and customers.
- Ensure accurate and detailed data and all materials have been collected from clients prior to events.
- Ability to meet deadlines is a must.
- Have an exceptionally positive attitude in a fast-paced environment.
Knowledge, Skills and Abilities
- Excellent written and verbal communication skills.
- Maintain positive relationships with team to reach common goals.
- Attention to detail and willingness to be "hands on" for a successful event.
- Able to prioritize in a fast-paced environment and offer solutions for success.
- Proven ability to maintain a high level of customer satisfaction.
- Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.
Participation
- Attends weekly meetings with manager onsite
Client Support
- Connects with new clients to set meetings
- Follows up with marketing and other aspects of event planning from clients
- Communicates with prospects and clients as necessary to set appointments or collect material for events.
- Conducts web-based research on prospect clients and institutions as requested
- Creates brochures, bios, logos, and other materials as requested
Qualifications
- Associate degree in event planning or 2-3 years equivalent experience in event planning
- Experience with meeting planning desired
- Outlook skills
- Must have a professional demeanor with the utmost respect for confidential matters
- Must be able to work independently and in a team environment
- Must have excellent written and verbal communication skills with strong interpersonal skills
- Must be detail oriented with excellent organizational skills
- Must have ability to multi-task
- Must have ability to work in a high stress, fast paced environment
- Must have strong work ethic with a positive attitude
- Must have excellent problem solving and proactive abilities
Working Conditions
- Long periods of sitting
- Long periods of computer and telephone usage
- Potential travel to conference locations
Works Remotely though must meet with sales team/coordinator once a week in person.
