J&M Global Solutions (J&M) is seeking an Executive Assistant to support our senior executives and corporate team in Alexandria, VA. J&M has a culture built around teamwork and collaboration, and we operate with purpose, intention, and integrity. In addition to their knowledge and expertise, the successful candidate will bring professionalism, positive energy, and enthusiasm and always deliver the highest quality of service to our executives, team members, and clients. Along with providing high-level administrative support to J&M’s President and the Chief Operating Officer, this position ensures the smooth, daily operations of our headquarters office. Please note that this is a full-time, on-site role.
Responsibilities include, but are not limited to:
- Manage and maintain the executives’ calendars, serving as gatekeeper to help ensure that their schedules are respected
- Serve as a liaison between executive leadership and other departments, clients, and external partners
- Support project workflow and deliverables, helping to keep leadership organized and on-track with key milestones and deadlines
- Assist senior leadership with meeting preparation including the creation and formatting of presentations, spreadsheets, and reports
- Schedule and coordinate meetings and events, preparing the conference room (to include audio/visual equipment), printing and distributing meeting materials, greeting any external meeting attendees
- Participate in meetings as required and record notes/meeting minutes
- Ensure the office runs smoothly by maintaining office supplies and supporting staff with various tasks, including coordinating with our IT and Facilities contacts to resolve issues at headquarters
- Coordinate travel as needed and prepare expense reports
- Manage special projects as assigned by the President

- Bachelor's degree
- Seven or more years of experience supporting executives
- Professionalism and proven ability to maintain confidentiality and discretion
- Strong organizational and time management skills
- Ability to flex and manage multiple priorities, never missing a deadline
- Great attitude and aptitude for providing excellent customer service
- Proactive, get-things-done mindset and able to work well independently and within a team
- Excellent verbal and written communication skills
- Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint), and Adobe Pro
