Development Coordinator: Events & Administration
Full time: 37-40 hours a week
Key Responsibilities: Events
- Assist with the planning and execution of all aspects of events and organized meetings
- Assist with the coordination of registration and other event logistics
- Provide support for events including - giveaways/branded items or gifts; event collateral and benefits fulfillment; registration portal set up; auction/game and set up at events; registration (entry/tracking, list management, follow up); name tags; onsite donation/gift payment and tracking; Square, other
- Work with managers to assist with client management
- Attend meetings and take notes
- Develop agendas and setting up meetings
- Saving files appropriately
- Assist with list management: queries and mailing lists (from databases and Excel) for invitations, newsletters, social media, fundraising campaigns, and perform mail merges
Key Responsibilities: Special Projects
- Donor Database set up and transitions
- Donor Database CRMs – tracking grant information, data pulls, report preparation and evaluation
- Manage Hubspot for internal/external use to keep up to date records for all departments use
- Track and save information of most current funder contacts and priorities and updates following client events and campaigns
- Manage AAS (IG, comms, events) for firm
- Work on other client projects as assigned
Key Responsibilities: Billing Projects
- Create client accounts and new projects in Bill4Time
- Prepare monthly invoices and activity reports
- Pull time reports
- Work on client projects as assigned
Key Responsibilities: Internal
- Receives and distributes communications, collecting and mailing correspondences, copying information
- Maintains supplies by checking stock to determine inventory levels, anticipates requirements, verifying receipt and putting items away
- Filing and data entry, paying close attention to detail
- Assist with preparing time tracking reports for administrative and billable time
- Take on additional tasks as business needs arise
Experience and Qualifications
- Bachelor’s degree in a communication-focused area of study (or equivalent professional experience) required
- 2 – 3 years demonstrated experience with nonprofit organizations
- Skilled at coordinating the planning and implementation of events and events-related communications
- Skilled at working with staff with various strengths and personalities.
- Excellent written and interpersonal communication skills
- Proven organizational skills including the ability to maintain data systems, prioritize projects, meet multiple deadlines and work with teams
- Attention to detail
- Excellent computer skills: Microsoft Office Suite, Outlook
Salary : $60,000 - $67,000
