Development Coordinator
Full time: 37-40 hours a week

Key Responsibilities: Events
- Assist with the planning and execution of events and organized meetings
- Assist with registration and logistics including silent auction, volunteers, venue, food, registration, and entertainment for events ranging from small donor receptions to galas, 2-day symposiums and luncheons
- Support Event team in event registration, set-up and tear-down, A/V, auction and game solicitation
- Create agendas and follow up with JMA managers and event committee members
- Create event plans and overviews; create strategies to maximize guest attendance and sponsorship
- Outreach to speakers, moderators and others to prepare them for the event
- Coordinate e/mailing projects (merges, mailings, guest lists)
- Assist with auctions, raffle and games
- Fundraising acumen – desire to (cold call) request donated items or sponsorship to support events

Key Responsibilities: Communications
- Create communications messaging for: printed materials (brochures, donor cards, organization collateral, campaign letters, annual reports, newsletters); digital outputs (eblasts, e-newsletters); various social media channels, understanding how channels work and align with target audience
- Compose, edit, and proof event collateral materials for: sponsorship; silent auction solicitation letters; press releases; invitations; programs; PPT; scripts
- Participate in implementation of social media strategy and plans
- Collaborate on communications projects and execute as needed
Key Responsibilities: Grants and Prospect Research
- Research potential funders, including reviewing fit, identifying guidelines and updating deadline, and attachments information
- Process all funding updates; receive and input donation information (including contact info and date of receipt) in client calendars and funding report spreadsheets
- Generate grant calendar reports to monitor ongoing work plans and grant writing assignments; prepare monthly fundraising/development and activity reports for clients
- Zip file and report to clients at the close of each month
- Prepare grant proposals for general operating and programmatic support
- Compile, write and edit applications, letters and queries exhibiting strong expository writing skills and a high-level command of grammar and spelling
- Write online submissions, LORs and LOIs in response to project and sponsorship requests
- Prepare attachments to grant proposals, 2nd signer process
- Write reports, synthesizing data to support them
- Create grant templates
Key Responsibilities: Admin
- Manage set up of and organize client meetings: setting up and sending meeting invitations, following up with managers to create meeting agendas, taking meetings notes, writing meeting summaries, ensuring meeting times aren’t double-booked, etc.
- Meeting deliverable task management: reviewing meeting summaries, following up with project managers and client managers on meeting deliverables task assignment progress
- Create client accounts and new projects in Bill4Time
- Prepare monthly invoices and activity reports
- Pull time reports
- Work on client projects as assigned
- Track client and employee expenses
- Perform maintenance in client databases (as assigned); including updating donor records (contact information, deadlines, guideline updates) keeping organized paper records for reconciliations, audits and general hard copy history funding reports
- Receive and distribute communications, collecting, and mailing correspondences, copying information
- Respectfully answers phone calls and front door, orders food and beverages for client and employee functions
- Maintains supplies by checking stock to determine inventory levels, anticipates requirements, verifying receipt and putting items away
- Helps maintain office-staffing schedule

Experience and Qualifications
- Bachelor’s degree in a communication-focused area of study (or equivalent professional experience) required
- 2 – 3 years demonstrated experience with nonprofit organizations
- Skilled at coordinating the planning and implementation of events and events-related communications
- Skilled at working with staff with various strengths and personalities
- Excellent written and interpersonal communication skills
- Proven organizational skills including the ability to maintain data systems, prioritize projects, meet multiple deadlines and work with teams
- Attention to detail
- Excellent computer skills: Microsoft Office Suite, Outlook, databases – Sales Force, Raisers Edge, E-tapestry

- Overtime: (over 40 hours per week) paid at a rate of time and a half.

This equates to earning 1 hour of ESST/PTO for every 11 hours worked.
