ACCOUNTS PAYABLE SPECIALIST
SUMMARY: JP Thayer Company is seeking a full-time Accounts Payable Specialist to join our Corporate team. The Accounts Payable Specialist ensures the Accounts Payable functions operate smoothly and efficiently. This position will have a daily, ongoing financial impact on financial transactions, keeping things on track and on good terms with our valued partners. The Accounts Payable Specialist will be someone whose accounting expertise translates into optimized expense control processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Ensure accurate up-to-date records of all accounts payable transactions.
- Verify invoices for legitimacy to ensure that transactions are accurate and adhere to company policies; a critical step in fraud prevention.
- Assist in the implementation of a new paperless acccounts payable process.
- Manage paperless accounts payable to ensure timely payments to vendors.
- Assists vendors who are seeking payment or need information.
- Research past due amounts on invoices, while ensuring duplicate payments are not generated.
- Ensure monthly vendor statements are reconciled.
- Monitor aged payables balances and resolve any overdue invoices.
- Communicate with internal departmens/properties to address any biling issues or questions.
- Coordinate collection of required vendor information, i.e., W-9 forms and insurance certificates, etc.
- Maintain information in software to ensure all vendors remain in compliance with Company policies.
- Assist with audits by providing necessary documentation and information.
- Identify opportunities for process improvements and implement best practices in the accounts payable function.
- Assist in job cost tracking for capital Projects and ensure all costs are accurately recorded.
- Seeks to assist Property Managers and/or Assistant Property Managers in day-to-day accounts payable processing.
- Performs and prepares special projects when assigned.
