What are the responsibilities and job description for the Bookkeeper position at Jack Cox Properties?
If you are a motivated, organized individual with a strong background in financial management, we encourage you to apply for this full-time position! This is an in-person position, located in Ukiah, CA 95482. We have been a local, family-owned and operated business for over 50 years.
RESPONSIBILITIES
- Oversee the financial operations of the company including bills for 16 separate entities and payroll for 3 separate entities; bookkeeper/asset manager
- Payroll record-keeping, including quarterly/annual reports, deposits, and Workers Compensation audits
- Maintain up-to-date employee hiring packages and provide HR support
- Perform daily banking procedures
- Manage accounts payable/receivable
- Complete vendor/credit applications as needed
- Analyze and prepare periodic financial statements for timely distribution to owners and lenders
- Reconcile all bank statements and provide P&Ls and balance sheets to owners monthly
- Request additional information from individuals for specific expenses if company credit card is used
- Conduct regular account reviews to ensure no outstanding invoices remain unpaid
- Track rice and wine grape crop contracts
- Provide CCOF certification to grape buyers as requested
- Assist owner with applications for conservation programs such as FSA/USDA
- Follow property and crop insurance requirements and pay per entity
- Handle vehicle registration/renewals/insurance
- Prepare YE binder for CPAs for tax purposes, reviewing prior to filings for accuracy of income/expenses
- Comply with various wine-related reports on a quarterly and annual basis
- Compile wine sales/inventory info from various sales channels
- File wine sales tax returns
- Pay property taxes for multiple entities, including calculation of various owner’s proportionate share
- Prepare State of California Reports of Information for LLCs and Corporations and file online
- Make mortgage payments and track principle and interest for each loan
- Distribute K-1’s to partners
- Call for contributions proportionately if needed
- Create and maintain vendor files, capital improvement files, etc. for each entity
- Answer customer inquiries via office phone, as well as through written correspondence
QUALIFICATIONS
- 2-3 years of bookkeeping/accounting work experience; Bachelor’s Degree preferred, but not required
- Proficient in QuickBooks, Microsoft Office, and Excel
- Acute attention to detail and accuracy
- Ability to juggle multiple concurrent projects and meet deadlines
- Ability to work independently in a small-scale office environment
- Ability to calculate figures and amounts such as percentages, interest, etc.
- Excellent written and verbal communication skills
- Ability to interact positively with diverse individuals at all levels within company
- Basic/Conversational Spanish a plus, but not required
- Valid Driver’s License and personal vehicle required; will be appropriately reimbursed for any work-related mileage
- PHYSICAL/MENTAL REQUIREMENTS
- Prolonged periods in a stationary seated position
- Data input/extensive computer work
- Calculate figures and amounts
- Ability to keep up in a fast-paced, multi-entity accounting environment
- Live within a 35-mile radius from Ukiah and reliably commute to workplace; or be willing to relocate to the area by position start date
