Position Summary:
- The Legal Assistant supports Attorneys and the legal team by performing administrative and clerical tasks that ensure the efficient functioning of the law firm. They play a critical role in case preparation, file management, and client communication, ensuring compliance with legal procedures and deadlines.
Essential Duties and Responsibilities:
- Document Preparation and Management: Draft, proofread, and finalize legal documents such as contracts, pleadings, motions, briefs, subpoenas, and correspondence. Format documents to comply with court requirements and firm standards. File documents with courts electronically or in person, ensuring adherence to deadlines.
- Case File Organization: Maintain and organize physical and digital case files, ensuring all documents are properly indexed and up-to-date. Prepare case summaries, chronologies, and other supporting materials for attorney review. Track deadlines, court dates, and statute of limitations to ensure timely filings and responses.
- Client and External Communication: Serve as a primary point of contact for clients, providing case updates, answering basic questions, and scheduling meetings. Communicate with opposing counsel, court personnel, and other parties as needed. Prepare and send engagement letters, follow-ups, and other client correspondence.
- Research and Investigation: Conduct basic legal research using tools like Westlaw, LexisNexis, or public records. Investigate facts of cases by reviewing documents, contacting witnesses, and gathering evidence. Compile research findings into concise summaries for attorney use.
- Scheduling and Calendar Management: Coordinate and manage attorney calendars, including scheduling hearings, depositions, meetings, and client consultations. Arrange travel and accommodations for attorneys when needed. Ensure all deadlines, court dates, and reminders are accurately recorded and communicated.
- Administrative Support: Answer phones, respond to emails, and manage general inquiries in a professional and timely manner. Process invoices, expense reports, and other billing-related tasks. Order office supplies and manage firm correspondence.
Education & Experience:
- High school diploma or equivalent required; an Associate’s or Bachelor’s degree in a related field is preferred.
- Required: Intermediate to Advanced Microsoft Office Programs.
- Required: Bilingual – Read, write, communicate (English/Spanish).
