Inventory Manager – Equine and Companion Animal Veterinary Practice
Position Summary:
The Inventory Manager is responsible for overseeing all aspects of inventory management across our equine and companion animal veterinary departments. This role ensures that inventory is appropriately ordered, tracked, and costed in line with clinic needs and industry standards. The Inventory Manager will also cultivate partnerships with industry vendors and monitor financial metrics to support the clinic’s operational efficiency and profitability.
Key Responsibilities:
- Inventory Management:
- Order supplies and medications based on clinic usage and turnover rates.
- Track incoming inventory to ensure all purchased items are received and match invoices.
- Monitor outgoing inventory and invoice any product removed from shelves.
- Prevent inventory losses by ensuring proper storage and tracking, and by identifying expired or unused products.
- Loss Prevention & Reconciliation:
- Submit claims and secure credits for expired, damaged, broken, or unfulfilled items.
- Ensure medications do not expire by proactively rotating stock and adjusting orders.
- Conduct regular inventory audits and oversee scheduled full inventory counts.
- Vendor Relations & Purchasing Strategy:
- Develop and maintain strong relationships with industry representatives, distributors, and manufacturers.
- Stay informed on new products, promotions, and educational events available to the clinic through vendors and buying groups.
- Track and reconcile rebates received from manufacturers and purchasing programs.
- Financial Oversight:
- Appropriately cost inventory items based on market trends, investment, and production values beyond base cost.
- Monitor and report monthly Cost of Goods (COG%), identifying trends or concerns.
- Collaborate with leadership on budget planning and financial goals related to inventory.
Qualifications:
- 2 years experience in inventory management, preferably in a veterinary or medical setting.
- Familiarity with equine and small animal products is strongly preferred.
- Knowledge of veterinary industry partners and pharmaceuticals for companion animal and equine medicine.
- Experience with practice management software—specifically Impromed.
- Strong organizational skills and attention to detail.
- Ability to analyze data and adjust strategies accordingly.
- Excellent communication and relationship-building skills.
- Proficient in inventory software and Microsoft Excel.
