JOB TITLE: Admissions Clerk
DEPARTMENT: Business Office
REPORTS TO: Business Office Manager
EXEMPTION STATUS: Non-Exempt
JOB SUMMARY:
Performs admission duties for admitting in-patients, out-patients, and emergency patients to hospital services. Processes and files admission records and acts as liaison with patient family members or responsible party.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
A. Processes patients for admission.
1. Secures necessary information from patients or responsible parties.
2. Completes admission record based on orders from a physician.
3. Obtains consent signature for admission and testing.
4. Arranges for transportation of patients to the appropriate in-patient or out-patient area.
B. Secures required deposit or insurance information.
1. Obtains insurance information, verifies coverage and pre-certifies patients if necessary.
2. Verifies co-insurance and collects deductibles.
3. Reviews past records for delinquent accounts and refers matter to supervisor if necessary.
4. Makes appropriate financial arrangements if patient is not insured.
C. Arranges for services or tests.
1. Notifies departments of services or tests ordered.
2. Informs patient of required services or tests and their schedule.
3. Determines patients understanding of instructions and schedule.
D. Distributes admission/registration records to appropriate departments.
1. Reviews all records for completeness and accuracy.
2. Provides records in a timely manner.
E. Assists in maintaining files, logs, journal and other financial documents
1. Records additions and deletions to the hospital inventory.
2. Files documents in the established filing system.
F. Administers self-pay patient accounts.
1. Accepts payments or deposits and provides assistance to patients with account questions.
2. Meets with self-pay patients being admitted to hospital services to set up payment arrangements.
G. Reviews Charges.
1. Handles complaints.
2. Counsels and discusses bills with patients
H. Assists in compiling and preparing financial reports.
1. Assists in compiling and preparing financial reports for Administration and CQI on a daily and monthly basis.
OTHER SIGNIFICANT REQUIREMENTS:
A. Ensures compliance with HIPAA regulations and maintains confidentiality in all matters involving sensitive patient information on a daily basis.
B. Delivers direct patient services while fostering a positive and supportive atmosphere for patient relations.
C. Exhibits a professional and customer-focused attitude in interactions with patients, visitors, and staff members.
D. Performs duties effectively in support of the Specialty Clinic’s operations.
E. Adheres to safety and infection control protocols and guidelines in accordance with hospital policies.
F. Assists with additional Business Office tasks and functions as needed.
REQUIRED QUALIFICATIONS:
A. Education: High School graduate or equivalent.
B. Experience: One year office experience in a medical setting
C. Personal Job-Related Skills: Typing speed of 45 wpm, operation of ten key adding machine/calculator. Familiar with operating personal computers and knowledge of general clerical duties.
D. License, Registry or certification: None required.
E. Technical Training: Accounting or bookkeeping are preferred.
F. Physical and Mental Requirements: Duties of the position require intermittent walking, sitting, and standing. Some bending, stooping, and reaching is required with the lifting of items up to a weight of 40 pounds. The ability to comprehend and follow routine written or verbal instructions or directions.
