What are the responsibilities and job description for the Estate and VRBO Coordinator position at Jackson fork Ranch?
Position Summary: The Estate and VRBO Coordinator is responsible for overseeing the day-to-day operations of the VRBO’s on the Jackson Fork Ranch, located in Little Jackson Hole, and provide assistance for other areas of the ranch. This role ensures the efficient management and upkeep of the estate and homes, enhances guest satisfaction, and coordinates all aspects of VRBO activities.
Key Responsibilities:
1. Vacation VRBO Management:
- Manage listings and bookings on VRBO and other VRBO platforms.
- Respond promptly to guest inquiries and provide excellent customer service.
- Coordinate cleaning, maintenance, and preparation of VRBO properties between guest stays.
- Handle check-in and check-out procedures efficiently.
2. Guest Services:
- Greet all VRBO guests upon arrival and ensure a welcoming and positive experience for all guests.
- Address guest complaints and issues promptly and professionally.
- Provide local area information and recommendations to guests.
3. Administrative Duties:
- Maintain accurate records of bookings, expenses, and property maintenance.
- Prepare and manage VRBO agreements and other necessary documentation.
- Assist in budgeting and financial planning for the VRBO properties.
- Collaborate with Administrative Executive in structing and growing VRBO program as directed.
4. Event Coordination:
- Plan and coordinate events and activities on the estate, such as weddings, corporate events, or family gatherings, as directed.
- Liaise with vendors and service providers to ensure smooth event execution.
5. Estate Management:
- Assist with maintenance, landscaping, and upkeep of the estate grounds and homes.
- Back up with feeding bison and other estate animals as needed.
- Be available for backup support to the CEO for meal preparation, administrative duties, and cleaning tasks as required.
Qualifications:
- Previous experience in property management, hospitality, or a related field.
- Strong organizational and multitasking skills.
- Demonstrates a keen sense of hospitality, ensuring exceptional service and a welcoming environment.
- Excellent communication and customer service skills.
- Proficiency in using VRBO management software and online platforms.
- Ability to work independently and as part of a team.
- Knowledge of local area attractions and services is a plus.
Work Environment: This position may require working evenings, weekends, and holidays as needed to accommodate guest arrivals, departures, and special events. On site housing will be provided.
