Jacobs is seeking a detailed oriented, highly motivated Administrative Assistant to join our team in DeFuniak Springs, FL. As an Administrative Assistant, you will perform a wide variety of administrative and staff project support services on our project site. Your strong organization skills and ability to communicate with staff at all levels – both orally and in writing will help us meet our client's objectives.

Essential Duties And Responsibilities

  • Provide front-desk coverage. Flexible to be cross trained to support other Admins as needed
  • Manage incoming calls, greet guests as they enter the office, organize and distribute incoming/outgoing mail and shipments, and maintain an organized, clean office environment
  • Assist with scheduling team meetings in the office, off-site, and via Microsoft Teams
  • Reconcile billing accounts, track inventory, order supplies and maintain a record of all purchases
  • Liaise with executive and senior administrative assistants to handle requests and queries from managers
  • Assist new hires with their initial onboarding, including Day One training
  • Assist with internal event planning activities

Here's what you'll need

  • High School diploma or equivalent
  • Valid Fl Driver’s License
  • 1 year or more of administrative experience
  • Proficient with Microsoft 365 Word, Excel, Outlook, PowerPoint & Teams
  • Proficient in record keeping and billing
  • Demonstrate key competencies in the areas of communication, planning and organizing, flexibility and adaptability, customer service, problem assessment and problem solving, attention to detail, and teamwork
  • Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Flexibility to work from 2 different offices


Ideally, you’ll also have

  • Experience working with high-level clients, executives, and vendors.

The physical and environmental demands required to perform the essential duties of this position include standing, walking, sitting, coordination, balance, and agility demands, which may include the ability to stoop, kneel, squat, grasp, reach, perform repetitive hand movements. Additional demands may involve a specific level of dexterity, grip strength, climbing and cardiorespiratory demands. The work areas may be indoor, outdoor, have loud noise, active machinery, high pressure fluid systems, electrical equipment, confined spaces, heights and depths, fumes, air borne particles, noxious gases, and chemicals. The use of appropriate safety equipment will be mandatory in these areas to prevent hazardous contact.
