Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator with expertise in Accounts Payable (AP) and Accounts Receivable (AR) to join our team. The ideal candidate will be proficient in Rent Manager software, with a solid understanding of financial operations and administrative support tasks. The Office Administrator will play a key role in maintaining smooth office operations, handling financial transactions, and supporting day-to-day accounting processes.
Key Responsibilities:
- Accounts Payable (AP):
- Process and manage vendor invoices, ensuring accuracy and timely payments.
- Reconcile vendor accounts and resolve any discrepancies or issues.
- Maintain a record of all financial transactions and ensure compliance with company policies.
- Accounts Receivable (AR):
- Invoice clients and tenants using Rent Manager.
- Follow up on outstanding balances and ensure timely collections.
- Prepare and process deposits and account reconciliations.
- Rent Manager Expertise:
- Use Rent Manager software for data entry, payment tracking, and financial reporting.
- Assist in generating financial statements and reports through Rent Manager.
- Maintain accurate and up-to-date tenant and vendor records in the system.
- Office Administration:
- Manage daily office operations, including filing, organizing, and maintaining records.
- Answer phones, handle inquiries, and provide administrative support to the team.
- Coordinate office supplies, equipment, and vendor services as needed.
- Additional Duties:
- Assist with payroll processing or other financial duties as required.
- Provide support to other departments and management with financial reporting or documentation.
Qualifications:
- Proven experience in Accounts Payable and Accounts Receivable.
- Proficient in Rent Manager software (required).
- Strong organizational skills with attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to work independently and handle multiple tasks simultaneously.
- Familiarity with general office practices and financial procedures.
- Basic knowledge of bookkeeping and accounting principles.
- Proficiency in Microsoft Office (Excel, Word, etc.) and other office software.
Preferred:
- Experience in property management or real estate industry.
- Prior experience with other accounting or property management software is a plus.
- Strong problem-solving and critical-thinking skills.
