- Please note: This is a Monday-Friday in office position at our Ashland home office.
The Fleet Office Administrative Specialist is responsible for supporting and maintaining our company's fleet of vehicles. This includes overseeing vehicle maintenance, tracking registrations and insurance, managing driver records, and ensuring compliance with all relevant regulations. The ideal candidate will be a detail-oriented individual with strong customer service skills and a proven ability to manage multiple tasks effectively.
Responsibilities:
- Maintain accurate records of vehicle registrations, insurance, and inspections.
- Track and manage driver qualifications, licenses, and training.
- Ensure compliance with all DOT and/or DMV regulations (depending on specific requirements).
- Process vehicle-related invoices and expenses.
- Collaborate with vendors for vehicle related payments or credits.
- Provide exceptional customer service to internal and external customers.
- Prepare and analyze fleet-related reports using Microsoft Office Suite (Excel, Word, etc.).
- Develop and implement strategies to optimize fleet efficiency and reduce costs.
- Manage vehicle maintenance schedules and repairs, ensuring minimal downtime.
Qualifications:
- Previous experience in a similar setting in bookkeeping, accounts payable and data tracking is required. Proven experience in a fleet administrative support role or related admin role is highly preferred.
- Proficiency in Microsoft Office Suite, particularly Excel (including data analysis and reporting).
- Excellent customer service and communication skills (written and verbal) is a must.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
Preferred Qualifications:
- Experience with DOT and/or DMV regulations and compliance.
- Experience with fleet management software.
- Experience with Samsara Fleet software, CDK Dealer software, and DMV platforms.
