HIRING SALARY RANGE

MINIMUM HIRING SALARY: $31,200

MAXIMUM HIRING SALARY: Depends on qualifications

The Administrative Assistant - Business and Industry provides a wide array of support services for staff/faculty in the division area such as but not limited to: data entry, clerical support, maintenance of office supplies and equipment, and student support. This position reports to the Dean of Business and Industry.This list is meant to be representative, not exhaustive. Â Incumbents may not perform all the duties listed, while in other cases, related duties may also be assigned.   • Under the direction of the division dean prepare memorandums, letters, reports, purchase requisitions, book orders, confidential reports, and other documents;
  • Operate a variety of office machines (i.e. copier, scanner, pc, etc.);
  • Answer and handle all incoming telephone calls; take and deliver messages in an accurate and timely manner;
  • Make travel arrangements and complete travel reimbursement forms for departmental faculty/staff;
  • Attend departmental meetings; record, publish and distribute meeting notes/minutes;
  • Maintain office records in a confidential manner;
  • Assist with preparation of semester schedule, departmental budgets and part-time instructional cost information;
  • Distribute departmental mail;
  • Supervise work-study students;
  • Assist the general public, as required;
  • Schedule classrooms/meeting rooms as required;
  • Assist in registration as needed;
  • Provide students with information for student support services and other related resources;
  • Assist students with questions and concerns regarding college policies, procedures, and programs within the division area;
  • Assist students and visitors in locating classes and faculty;
  • Maintain an updated list of part-time faculty names and contact information for the division;
  • Maintain an adequate supply of office materials to support clerical duties and requests of faculty; prepare yearly supply inventory of office area;
  • Acquire computer/technology competencies as appropriate to position;
  • Assist faculty with equipment and software maintenance;
  • Maintain security of personal computer access;
  • Serve on college committees;
  • Perform other professional or job-related duties as assigned.

Required:Â Associate degree from a regionally accredited institution in Office

Administration or a closely related field. Excellent communication skills. Working knowledge of computers and Microsoft Office, including word processing, spreadsheets, and presentation graphics. Â Â Â Â Â Â

Preferred:Â Proficient with computers and Microsoft Office, including word processing,

spreadsheets, and presentation graphics. Bilingual.

Required:Â Â Some clerical and customer service experience.
