Job Summary:
Janco Commercial Cleaning is seeking a highly organized and tech-savvy Operations & Administrative Coordinatorto support daily office functions while assisting in operational oversight. This role is crucial in managing proposals, contracts, compliance tracking, and operational budgets while providing administrative assistance to ensure smooth operations.
Key Responsibilities:
Administrative Support:
- Answer and direct phone calls, providing excellent customer service to clients and vendors.
- Prepare and send new bids, amendments to contracts, and proposals using designated software.
- Maintain and track OSHA logs and other compliance-related documentation.
- Oversee and log the breakpoint MEC plan to ensure janitorial staff compliance.
- Organize and track work orders inside TEAMS software.
- Communicate with vendors and suppliers, ensuring invoice tracking and accurate documentation.
- Manage office supply orders and coordinate food orders when needed.
Operations & Quality Control Support:
- Budget Management: Track and manage hours vs. budgets for buildings, ensuring labor costs align with operational goals.
- Quality Control: Utilize and understand the Orange QC platform to track and report on service quality and improvement areas.
- Operational Assistance: Provide support to the operations team as needed to streamline processes and assist with facility management.
Qualifications:
- Experience: 3 years in administrative support, operations, or facility coordination.
- Skills: Strong organizational, problem-solving, and multitasking abilities.
- Tech Proficiency: Must be comfortable using various software tools (Microsoft Office, TEAMS, operational tracking software).
- Preferred: Experience in janitorial, facility management, or a similar industry is a plus.
