Job Title: Personal Bookkeeper/Administrative Assistant
Status: Full Time, Non-Exempt (Hourly)
Reports to: Chris Sahlin, Executive Andministrator & Assistant to the President
General Description:
The Personal Bookkeeper/Administrative Assistant will support management and operations working in the heavy construction industry. This role will be responsible for managing financial records, assisting with administrative tasks, and ensuring the smooth day-to-day operations of the business. The ideal candidate should have experience in bookkeeping, office administration, and an interest in and understanding of the heavy construction industry.
This job is Safety Sensitive and therefore is contingent upon a pre-employment drug test excluding marijuana.
Key Responsibilities:
Bookkeeping for President of Jansen
- Maintain accurate financial records, including accounts payable/receivable, invoicing, and expense tracking for the Presidents personal books.
- Reconcile bank statements, pay bills and prepare financial reports.
- Assist with ensuring all personal accounts are paid timely utilizing LastPass and other accounting resources.
Administrative Support for Chris Sahlin:
Scheduling and Calendar Management
· Manage and maintain calendars for President and others including scheduling meetings, appointments and events.
- Family Travel: create itineraries, book airline tickets, hotels, coordinate with Verizon rep to make sure President’s family phones work outside of the country.
Office Support
· Answer phone calls, take and relay messages, and route calls appropriately.
· Handle incoming mail and emails
· Perform general office duties such as filing, data entry, and document preparation.
· Manage office supplies including snacks
Document Management
- Prepare and edit documents, including reports (Samba driver’s report), presentations and spreadsheets.
New Hire Onboarding
- Lead new hire onboarding ensuring completion of all paperwork with field employees.
- Scan all documents, and email to New Hires email, responding to any questions from Payroll or HR.
Other
- Provide Admin support as requested for Al and Paulette Jansen.
- Coordinate boarding and transportation for the Presidents pets as needed
- Local business and personal errands
Required Skills/Abilities:
· Demonstratable (Intermediate skills) Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook.)
· Willing to learn Company process and procedures, and learn/use proprietary software
· Ability to meet deadlines and address time-sensitive issues as well as confidential issues.

Education – Experience:
· Associate’s degree in accounting, business administration or related field. Will consider an equivalent combination of relevant education and experience (minimum 3 years if no degree).
· Excellent general accounting principles
· Knowledge of bookkeeping software
· Experience working in a fast paced environment.
· (3) three years of bookkeeping experience
· Construction industry related experience (preferred).
