Job Summary
The Program Coordinator implements our vibrant adult programming which includes lectures, workshops, support groups, and trips. This individual ensures successful planning, implementation, and follow-up for all adult social and educationalprograms. This position sits on the Member Engagement team, which ensures a high quality of engagement with current and prospective members and program participants. This team member will also lead tours, enroll program participants, orient new members into the agency, handle member and program fees, answer calls and emails, and enter information into databases. The ideal candidate is responsible, communicative, has strong attention to detail, and loves working with people. The Program Coordinator will report to the Director of Member Engagement.
Flexible full time (40 hour) position with hours ranging between 9:00 AM and 7:00 PM and flexibility to work occasional evening and weekend programs.

Visual acuity is needed for detailed work, and computer use. The ability to sit for extended periods of time is also a requirement.

Key Responsibilities and Expectations:
Adult Programming
- Implement new and innovative adult and older adult programming, inclusive of advance scheduling, program set up and engagement with adults before, during and after program.
- Organize adult programs day-of, including welcome and registration, room/tech set up, and support and guidance to contracted facilitators and volunteers to ensure program success.
- Ensure strong follow-up with adult community members to increase satisfaction and retention.
- Communicate externally with event speakers and performers, event partners.
- Maintain program budget documentation. Manage facilitator invoices and travel.
- Draft program marketing materials for web page, flyers, social media. Create registration links for programs.
- Provide tours, sign community members up for membership, classes and programs and facilitate registration
- Conduct shifts at the building welcome desk and membership information desk to support member and patron sign-in
- Respond to member inquiries face-to-face, as well as by email and phone.
- Collaborates internally with other departments planning programming for adults aged 55 .
- Liaise with facilities team on event order and room set up; Order and set up food and drink, manage inventory; troubleshoot day-of.
- Create a monthly adult program calendar for distribution and web posting and collaborate with marketing to ensure the community is aware of all upcoming programs.
- Facilitate the flow of information between staff departments and community members via in-person meetings, emails, and phone.
- Other duties as assigned by the Senior Director of Member Engagement.
Program Collaboration and Communication
- Communicate regularly with community members through weekly updates, one-on-one outreach, and in-person conversation.
Skills, Education And Experience
- Highly organized with strong attention to detail.

- Prior experience working with membership databases.
- Excellent verbal and nonverbal communication and listening skills
- Experience in a programmatic environment serving adult/older adult populations
