Overview
JCC Design Studio is seeking a full time Office Manager who is an organized and self motivated individual. The candidate will be responsible for carrying out clerical duties, general bookkeeping and payroll, maintaining vendor, personnel and client files, along with upkeep of office supply inventory and general office areas. This position will also coordinate initial proposals and contracts for architecture and design services and play an important role in client relations. This role is important to maintaining the day to day tasks and workflow of the studio. The ideal candidate will deliver excellent customer service, be an effective written and oral communicator and be an integral part of the team.
Responsibilities
- Supervise and lead office staff to ensure productivity and efficiency.
- Oversee administrative tasks including calendar management and scheduling meetings.
- Manage vendor relationships to ensure timely delivery of services.
- Coordinate proposals and contracts for clients.
- Daily payables/receivables, client invoicing, monthly bookkeeping, and payroll.
- Implement organizational systems to enhance workflow within the office.
- Assist in the development of office policies and procedures to improve operational efficiency.
Experience
- Bachelor’s degree in Business, Accounting, Finance or related field preferred
- Bookkeeping experience
- Proven experience in office management or a similar administrative role.
- Proficient in QuickBooks Online
- Proficient in working with Mac-based operating systems and software
- Proficient in social media marketing
- Valid driver’s license
- Experience in supervising teams and managing personnel.
- Familiarity with vendor management practices is preferred.
- Excellent communication skills, both verbal and written.
