Job Title: Program Coordinator, JCYC Upward Bound Program
Position: Full-time 40 hrs./week, Non-exempt position; some evenings and weekends
Salary: $50,000 - $52,000 with excellent benefits upon completion of a 3-month introductory period
Funding Source: U.S. Department of Education; Continuation of position based on the renewal of annual funding.
Start Date: ASAP
PROGRAM DESCRIPTION: Upward Bound (UB) is a year-round, pre-college TRIO Program funded by the U.S. Department of Education (U.S. ED). The program is designed to serve students who are from low-income families and/or will be the first generation in their families to attend college. Upward Bound aims to increase the rate at which participants complete high school and enroll in and graduate from institutions of postsecondary education.
POSITION: The JCYC Upward Bound Program Coordinator manages and supports the Associate Director in various administrative, hiring, and fiscal duties to ensure effective program operations and service delivery. Additional duties include assisting with the planning, delivery, and evaluation of Upward Bound services and providing backup support to direct service staff when needed. The Program Coordinator works closely with other JCYC College Access managers and office support staff on department projects and functions. The role will require the Program Coordinator to interface with various program and department staff, program participants, external stakeholders, and vendors.
JOB RESPONSIBILITIES
Administrative
- Manage daily office operations, including answering phone calls and emails and replenishing office supplies
- With guidance from the Associate Director, maintain the program calendar by calendaring events, meetings, and deadlines, and sending reminders to staff and, if need, to program participants if needed
- Manage participant files, including reviewing new participant applications for completeness, creating physical participant files, and inputting participant information into our Salesforce database
- Create and update program materials including program application packets, outreach materials, infographics for school partners, etc.
- Co-manage vendor accounts (e.g., food, transportation, and software) with the Associate Director
- Make reservations and purchases on behalf of the program for program functions, reconcile credit card receipts, and prepare check requests
- Assist College Access Directors and office support staff in organizing fundraising events, including an annual Winter gift wrapping fundraiser and Spring awards gala
- Co-manage social media accounts, including Instagram and Facebook, with other College Access office support staff
- Work with JCYC Human Resources and Administrative teams to support program staff
Program
- Support program staff with the planning and delivery of all program events and field trips, particularly with logistics
- Perform program compliance duties such as creating and collecting participant sign-in sheets and evaluations for each school site and each program event, and analyzing participant feedback
- Assist Associate Director in recruiting, hiring, and training new staff
- Support Associate Director with the data collection, data entry, and submission of the Upward Bound Annual Performance Report
Other Program Participation
- Participate in JCYC, agency-wide, meetings, activities, committees, and events to represent the agency to external stakeholders
- Available to work weekends, evenings, and overnight when necessary
- Perform related duties as needed
JOB QUALIFICATIONS
- Bachelor's degree and one or more years working with youth
- Strong organizational and follow-through skills and attention to detail
- Experience with event planning and conducting presentations
- Effective verbal and written communication skills with diverse stakeholders
- Computer literate; proficient with Microsoft Office, Google Suite, Canva, and Zoom
DESIRED QUALIFICATIONS
- Individuals with similar background to UB target student population
- Experience working with youth, particularly in high school, from diverse ethnic and socioeconomic backgrounds
- Knowledge of San Francisco and/or public schools and youth programs and resources
- Passion for the overall goals and vision of JCYC College Access Programs
- Ability to juggle several dissimilar tasks and competing priorities
- Ability to work effectively in a team setting with or without supervision
- Salesforce experience
- Bilingual preferred (e.g., Cantonese, Mandarin, and/or Spanish)
