ABOUT THE SCHOOL/DEPARTMENT


Ralston Elementary, serving the Genesee Park and Lookout Mountain neighborhoods west of Golden amidst Colorado's Front Range foothills, boasts a serene mountain backdrop just 6 miles west of 470 on I-70. Our school community thrives on the unwavering support of dedicated staff, hard-working students, and engaged families, complemented by the active involvement of our vibrant PTA.

With a rich legacy spanning 150 years, Ralston stands as the oldest elementary institution within the Golden High School network, celebrated for its tradition of academic excellence and growth. Honored with the esteemed National Blue Ribbon Award and multiple John Irwin School of Excellence Awards among other accolades, we uphold a steadfast commitment to fostering achievement and holistic child development.

Enrolling close to 300 students from kindergarten through 5th grade, each grade level is led by two teachers, supplemented by additional para-professional support at grades K-2 and departmentalized classrooms in 3-5th grades. We also maintain special education para support at all levels and an additional educator dedicated to challenging our ALP and gifted students. PRE-EMPLOYMENT REQUIREMENT


The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES


SUMMARY: Coordinate the efforts of multiple functions within the School, and respond to routine and special issues that cross departmental lines. Assist the Principal in all areas of responsibility for the smooth operation of the school and the accomplishment of its duties. The position requires dealing with information of a sensitive nature as well as the ability to communicate confidently and clearly to a wide variety of community members. Assume management responsibility for classified personnel and is knowledgeable of total school programs and acts as liaison between administration, staff, students and the community.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Manage daily school procedures, including answering drop-in visit and telephone inquiries and communicating with the public, school staff and other departments; receive/sort incoming mail; respond/assist with appropriate course of action, including filing; preparing outgoing mail.

Assist with calendar management and scheduling for the Principal.

Anticipate school needs and priorities to ensure the appropriate information/materials are available for meetings and decision making. Prepare communications and documents to share with school staff. Manage the flow of communication and work to facilitate an effective operation of the school. Responsible for contributing to a customer-centered school culture.

Implement all paperwork and transactions pertaining to the coordination of interviews including job descriptions and questions, hiring school personnel and submitting position changes/terminations.

Implement evaluation process for classified and certified employees. Type, copy and disperse evaluations, schedule observations and conferences with follow-up and maintain files.

May assist the Financial Secretary with or prepare budget pages and financial data, additional pay, independent/consultant contracts, purchase requisitions/orders, paying invoices, and ordering office supplies.

Review, understand and administer Board/District policies and Financial Services Guide procedures. May assist Financial Secretary serve as a business and budget resource to the principal, faculty, student and parent organizations.

May assist Financial Secretary with organize, monitor and maintain all school accounting and financial records including periodic financial statements and accounting reports. Prepare, interpret and present reports on all school financial matters as required to various groups and individuals.

Answer questions, communicate information for/to community, act as liaison between administration, staff,
students and the community. Be able to handle high stress multiple situations simultaneously with confidence.

Develop, organize and gather substitute information, direct and inform substitutes as well as coordinate coverage when substitutes are not available.

Prepare and audit payroll for classified personnel, verify substitutes, initiate additional pay for employees, manage payroll disbursement.

Responsible for time and attendance of all staff members, including substitute teachers, plus complete electronic paperwork for covering classes when there are no subs.

Organize/maintain all confidential operational records and files.

Provide illness/accident attention and First Aide when necessary. Complete accident forms as appropriate. Administer medications to students.

Initiate work orders for equipment repair, telephone service and building repairs as well as maintenance of all office equipment. Compile, monitor and prepare reports on supplies, facilities and equipment.

Develop agenda, attend meetings, type minutes and disperse information for various committees. Order and oversee catering for various meetings.

Oversee set-up for Back-to-School night, parent teacher conferences and other staff meetings. Acts as the direct line to PTA/other organizations, CDM Accountability, After Prom and Boosters.

Organize beginning and ending of school (i.e. communication to all teachers), coordinate registrations, send out information, organize and help setup for registration, review and organize teacher and student handbooks, prepare and copy information for teachers at beginning of school, secure paraprofessional, organize and put together master schedule of classes for both semesters, prepare close of school procedures, and check teachers out of the summer.

EXPERIENCE 3-5 years' minimum experience with district, school and /or administrative office experience.

EDUCATION AND TRAINING Bachelor Degree in Business Administration or equivalent professional experience will be considered. Required to complete district medication administration and health room back up training within first month of hire. Annual training also required.

CERTIFICATES, LICENSES, & REGISTRATIONS First Aid & CPR Certificate highly recommended.

SKILLS, KNOWLEDGE, & EQUIPMENT Requires strong oral and written communication, interpersonal, proofreading, customer service, diplomacy, and advanced computer skills. Ability to handle multiple tasks and deadlines. Ability to maintain confidentiality in all aspects of the job. Operating knowledge of and experience with computers, office software, and general office equipment. Knowledge of District policies and procedures preferred.

DECISION MAKING Work is assigned by the Principal and by self. Requires strong judgment, quick decision making, analytical skills, and tact to determine the urgency of a situation and the appropriate action within District policies and procedures, often in the absence of the supervisor. Decision making is guided by Student Conduct Code, Board and District policies and procedures, District/school discipline plan, Administrative Responsibilities Guide, and/or good personal judgment. Decision making may require collaboration with administrators, certificated or classified staff, parents, and/or students. Errors in decision making could lead to loss of confidence in and/or impact the image of the District, school, department, and/or division. Supervisor is involved only in major decisions.

COMMUNITY RELATIONS Daily and/or hourly contact with persons within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees requiring tact and diplomacy to maintain relationships, resolve problems, and negotiate matters, often involving confidential and/or highly confidential matters.

SPAN OF CONTROL May be responsible for assigning, directing work, and training secretaries, sub-secretaries, clerical staff, paraprofessionals, and/or student aides in the office. May also have input into hiring and discipline processes. Acts as a departmental resource for staff.

EDUCATIONAL DELIVERY This position serves as a District resource on specific functional areas such as projects, technology, or a business application as it relates to this position. Position requires judgment in the preparation and monitoring of budgets, provides expert advice in the interpretation of District policy and requirements.
