RESPONSIBILITIES

- Provides administrative support to the Human Resources Department.
- Answers telephone inquiries and/or refers the caller to the proper department and/or clinic based on information requested.
- The Human Resources Administrative Assistant is a role model for customer service, and mentors support staff in the process, following and enforcing JCMG’s policies.
- Independently composes correspondence based on knowledge of policy using correct grammar, punctuation and spelling with ability to modify form letters to fit varying situations.
- Research, track and compile data and produce reports and charts using Microsoft Word.
- Set up and maintain a file for documents and records that may require follow-up action, i.e. handicapped parking passes for employees, 45- and 90-day review tracking, monthly birthday cards, etcetera.
- Oversee office supplies and maintain adequate levels of supplies.
- Oversee and monitor walk-in applicants wanting to complete an on-line application or job shadow students completing paperwork.
- Prepare benefit and new hire packets for weekly new hire orientation.
- Assists with orientation when needed.
- Maintain calendars for staff as requested; make meeting and event arrangements.
- Deliver mail within Human Resources Department.
- Scan personnel files into the HRIS System.
- Completes projects at the direction of the Human Resources Director as needed and performs other related duties as assigned.

MINIMUM QUALIFICATIONS
Education:
- High School Diploma or GED
Experience:
- Two years of secretarial experience including one year in a healthcare organization preferred
- Additional appropriate education may be substituted for three years of secretarial experience
Certification/License:
- N/A
Knowledge/Skills/Abilities:
- Typing ability minimum of 60 wpm
- Microsoft Windows products
- Administrative/secretarial healthcare practices
- Grammar, spelling and punctuation
- Basic mathematic skills
- Reviewing and editing reports and correspondence
- Good oral and written communication skills
WORK ENVIRONMENT
Work is normally performed in a heated and cooled environment with minimal exposure to communicable diseases. Occasionally work involves driving to locations off of the main campus.
